Department: Finance & Accounting

Reports to: Purchasing Manager

FLSA Status: Non-Exempt (Eligible for OT)

Location: Louisville, CO

Wage Range: $ 22.00- $25.00/hour

Overview:
Design Mechanical Inc. is hiring a Purchasing Assistant to perform various administrative support duties for the Purchasing Department. This includes processing purchase orders and requisitions, tracking and maintaining inventory, reviewing invoices, maintaining files, and placing orders as needed. The Purchasing Assistant will also assist in completing related reports and documentation as required.

 

Duties and Responsibilities:

  • Processing purchase orders in high volume for Project Managers and Service Technicians
  • Obtaining sales confirmations/acknowledgments from vendors via phone and email
  • Assist with requesting price quotes for buyouts, projects, and specialty items from our vendors
  • Maintaining purchasing documents, files, and records with electronic and paper files
  • Daily data entry for quarterly reporting for national accounts and reconciling quarterly reports.
  • Investigate and resolve problems associated with processing invoices for accounting.
  • Follows up on pending items consistently with Vendors, Project Managers, and Technicians to ensure that all purchase orders are entered and committed for billing.
  • Communicating with vendors regarding rentals, product availability, and shipping requirements
  • Be able to meet tight deadlines with little margin for error for month end and quarter end.
  • Providing daily administrative support to the Purchasing Department


Knowledge, Skills, and Strengths:

  • Proficiency in Microsoft Office including Excel, Word, and Outlook; 10-key by touch (Required)
  • Ability to multi-task, is very organized, detail-oriented with an eye for accuracy.
  • Excellent oral and written communication
  • Strong daily data-entry skills with demonstrated accuracy and precision in reporting.
  • Ability to work independently and adapt to a fast-changing, fast-paced environment, solve problems, and be accountable for decisions.


Requirements:

  • 1 – 2 years of previous experience in a similar role (construction industry preferred)
  • High School Diploma or GED (Highly Preferred)
