Position Overview:

The Residences Assistant Tower Manager assists the Residences Tower Manager in the management of all functions in the Residential Tower and leads management of the Public Area Team. The Residences Assistant Tower Manager provides five-star service and management of all staff and operations, in addition to providing support to the Residences Tower Manager. As a leader, provides a point of contact for various residential condominium related functions including customer service in relation to the owners, residents, and their guests in the residential tower as well as in elevated situations. Acts as support liaison for the Board of Directors and various departments which provide services to owner/residents including Housekeeping, Engineering & Maintenance, Reservations, F&B, Security, Front Desk and Accounting) in the Trump International Hotel and Tower.

ESSENTIAL FUNCTIONS


Average Percent


25% Communicates with residential owners, occupants, guests as required. Communication includes but is not limited to e-blasts, concierge highlights, monthly resident events, newsletters and general responses to resident inquires.


20% Leads management of the Residences Public Area Team including providing direction, assistance, training, performance feedback, goal setting and guidance, etc. to all PAA Team Members including development and direction of the Public Area Supervisor. Oversees all PAA operations which include but are not limited to, tasks, projects, ordering, inventory, team/individuals meetings and visually monitoring staff and department performance by conducting audits and inspections and addressing matters as necessary. Provides feedback to Tower Manager and Director of Residences on performance of the PAA team.


20% Leads management of all Payroll related matters for the Department. Initial review of all TORFs, preparation and edits to team schedules, schedule and time management for the team via Watson, addressing attendance issues, questions, concerns. Tracks OT, Calls Offs and any attendance related matters and presents monthly reports to Tower Manager and Director of Residences. Responsible for overall department payroll cost control.


15% Provides administrative support to the Tower Manager and Director of Residences for matters including but not limited to: Team and Dept meeting preparation and follow up, Association mailings, collateral updates and assigned projects, Board of Directors support, management and communication, enforcing rules and regulations, condominium association calendar of events etc., monthly charges and billing, invoicing and monthly delinquencies and provides assistance as needed for assigned projects and tasks.


15% Provides support with hires, training, supervising, allocating personnel, communicates departmental/individual job goals and criteria of job performance, appraises, and where necessary disciplines department staff. Visually monitors performance to ensure adherence to all service and productivity standards to provide guest and resident satisfaction.




SUPPORTIVE FUNCTIONS

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.

  • Assist the Tower Manager and Director of Residences in the management of all functions in the Residential Tower.

  • Attend condominium Board of Directors’ meetings as needed

OTHER DUTIES

Assimilate into Trump Hotels culture through understanding, supporting and participating in all elements of our Service Culture. Demonstrate working knowledge of the service standards. Regular attendance in conformance with the standards, which may be established by Trump Hotels from time to time, is essential to the successful performance of this position.


SAFETY REQUIREMENTS

Personal Protective Equipment (PPE) may be required when performing work duties that may have the potential of risk to your health or safety. The hotel will provide the required PPE. Associates will be trained in the proper use and care of any assigned PPE. It is your responsibility to report defective, damaged or lost PPE, or equipment that does not fit properly, to your Manager.

SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.

  • Working knowledge of budget preparation, Association Operations, IL Property Condominium Act, Crisis Management,

  • Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacy to diffuse anger, collect accurate information and resolve conflicts.

  • Quantitative processing of data via office machine equipment, mathematical computations and analytical skills necessary to accurately determine and communicate financial, forecasting and space utilization calculations.

  • Proficiency in the use and operation of computer systems with the ability to navigate efficiently through Word, Excel, Access, Outlook,

  • Ability to read, write and speak the English language to fully comprehend guest requests, memos, proposals, general correspondence and similar written materials.

  • Possess a good conceptual understanding of electronic devices and the ability to operate such items as copy machines, slide projectors, microphones, computers, portable radios, pagers, etc.

  • Ability to complete a contract in compliance with all checklists, standards and hotel policies.

  • Interpersonal skills to provide overall guest satisfaction.


QUALIFICATION STANDARDS

EDUCATION

  • Bachelor’s degree preferred.

  • Active in classes offered by the Community Associations Institute and/or Institute for Real Estate Management.



EXPERIENCE

  • 2 years property management experience preferred.

  • 3 years leadership experience helpful

  • Hotel management experience is helpful.


LICENSES OR CERTIFICATES

CMCA License or ability to obtain CMCA within 6 months of hire
