We are looking for a Maintenance Regional Coordinator to join our purchasing team. The Maintenance Regional Coordinator will hold a crucial position in providing support to the onsite maintenance teams assigned to them. Key duties involve coordinating vendor assistance, overseeing property turnover procedures, and ensuring compliance with contracts and permits.

Responsibilities

Purchasing:

  • Create Purchase Orders for Supplies
  • Schedule Services with vendors
  • Tracker for appliances & carpets
  • Input and track invoices
  • Schedule Move-out with Residents
  • E-blast for all Maintenance Issues
  • Answering Maintenance calls requests for work orders
  • In Check email check out to Residents
  • PO for services and keep records for each company vehicle with service and dates
  • STP plants Scheduling cesspool maintenance
  • Reconcile Discrepancies between POs and Invoices

Contracts:

  • Update all contract trackers
  • Managing Renewals and Extensions of Contracts
  • Drafting, and reviewing Contracts for all properties
  • Work with legal on contract changes

Permit Management:

  • Monitoring Permits expirations and renewals
  • Application preparation and submission to towns
  • Permit tracking
  • Work with Towns for permits and Inspections

Administrative:

  • New Vendor Insurance packets
  • Cross-Functional collaboration within departments
  • Email Vendors for Updated insurance assist bookkeeping
  • Update spreadsheets with vendor pricing for both new and active vendors
  • NYC Violations & Compliances

Skills

  • Excellent verbal and written communication skills
