JOB SUMMARY

The Product Development Coordinator will support the New Product Development team in administrative tasks and projects related to sampling new jewelry items. They will maintain organization of documentation, communicate frequently with overseas vendors and internal staff, and manage various aspects of product development and coordination. With strong product knowledge and experience with ERP systems and jewelry manufacturing, they will serve as the first point of contact for internal requests and oversee the review and fulfillment of sample requests.

DUTIES AND RESPONSIBILITIES

Support and Coordination:

  • Support the NPD team in fulfilling sample requests from other departments (Marketing, Photography, eCommerce, etc.).
  • Maintain inventory of samples in proper order and conduct weekly cycle counts for inventory control.
  • Process sample PO receipts through our backend system (NetSuite).
  • Photograph jewelry samples, record weight and measurements, tag new samples, and save in proper format for our Product Information Management System (PIMS).
  • Save cost sheets and all documentation in the product file.
  • Prepare goods and documentation for offshore transfers and RTVs.
  • Create new item records in PIMS, including all product details and images.
  • Create a digital project folder for all new items in development.
  • Create Bill of Materials and place sample orders for all new items.
  • Assist in the coordination and tracking of new product development projects to ensure timely completion.
  • Collaborate with cross-functional teams to gather necessary information for new product initiatives.
  • Update and maintain project timelines, ensuring all milestones are met.
  • Provide regular status updates on ongoing projects to the Senior Manager, New Product Development.

Order Fulfillment:

  • Review, fulfill requests, and assist in workflow practices for Creative Services, Marketing, Ecommerce, etc.
  • Facilitate orders based on demand, new product, and special requests.
  • Communicate frequently with internal staff and overseas vendors.
  • Request and expedite needs of components through partnership of internal departments and vendors.

Administration:

  • Responsible for creating and maintaining New Product Development departments paper and electronic files including NetSuite, PIMS, digital project folders, offshore transfers and RTV documents, new item records, cost sheets, and sample orders receipts.
  • Partner with Inventory Control to ensure accurate cycle counts.
  • Additional duties as assigned to meet New Product Developments manufacturing goals.

JOB/SKILL REQUIREMENTS

  • 1-3 years experience in a similar or administrative role.
  • High School diploma required; College Degree preferred.
  • Experience with Oracle NetSuite or similar is required.
  • Proficient with Microsoft products (Outlook, Teams, Excel, Word).
  • Jewelry/Retail/Manufacturing industry experience preferred.
  • Experience with precious metals, diamonds, and gemstones required.
  • Proven ability to manage multiple projects with a high level of detail in a deadline-driven, changing environment.
  • Strong organizational, interpersonal, and collaborative skills.
  • Ability to build relationships within the organization and with our vendors.
  • Quick learner, self-motivated, and dependable.
  • Ability to work independently and as part of a team.
  • GIA Certification(s) or CAD knowledge a plus.

PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting at a desk and working on a computer.
  • Brief periods of standing, bending, reaching, and light lifting required.
  • Must be able to lift up to 30 lbs at times.
  • Capable of effectively and accurately communicating via computer, telephone, or similar devices.
  • Ability to engage in repetitive tasks, such as typing, data entry, and phone communication, for extended periods.
  • Manual dexterity to operate a computer keyboard and handle documents.
  • Must be able to follow all workplace safety protocols to ensure personal safety, safety of coworkers, equipment, and building.
  • Must be able to access all areas of the facility to determine needs.
  • Must be able to follow all workplace safety protocols including wearing a face mask for periods of time as required while in the corporate office.

WORK ENVIRONMENT: CORPORATE OFFICE

  • Corporate office environment with limited secure access. There may be some exposure to vault and workshop environments with secure access and confined spaces at times. Additionally, there is a possibility of exposure to jewelry manufacturing work environments with protective equipment and tools, and elevated noise levels.
