Job Summary

The Event Sales & Catering Manager handles all aspects of functions as assigned by the Director of Group & Catering Sales and responsible for the overall planning, coordination, and execution of all catering and conference events at the hotel. Ideal candidate will have a strong background in catering, sales and event management, as well as excellent communication and customer service skills.

Essential Functions:

  • Participates in all catering/conference activities to include: handling all sales enquiries, preparing proposals, creating Banquet Event Orders and floor plans, serving as the point of contact for clients throughout their stay, and preparing the summary of charges for groups at the completion of an event in conjunction with accounting.

  • Maintains a working knowledge of all functional areas of food and beverage, hotel rates and packages, banquet facilities and capacities, catering menus (including specialty menus), wedding packages, and word processing software such as Microsoft Word and vendor information (i.e. entertainment, favors, and invitations).

  • Help source and manage vendors for catering, conference and special events. Conduct site inspections to help secure business for catering, conference and special events.

  • Attends a variety of meetings such as pre-conference meetings and the Weekly Banquet Event Order meeting. In absence of the Departmental Head, attend Credit, Sales, and Department Heads and morning meetings, as needed.

  • Accurately enters relevant account information into Fidelio/Delphi software program.

  • Monitors ongoing functions to assure quality standards are met and communicated cross departmentally.

  • Tactfully addresses event concerns and efficiently resolves variances in the Hotels quality standards. Checks and blocks space in Delphi and maintain accuracy.

  • Conducts outside sales calls on accounts that can produce catering/convention business. Conducts telephone solicitations as needed to help generate business.

  • Entertains clients for the purpose of creating positive business relationships and developing future revenue.

  • Works closely with front services, sales and accounting operations relating to groups. Handles a variety of miscellaneous duties as assigned by the Director of Group and Catering Sales.

  • Perform any other duties as assigned by The Director of Group and Catering Sales and/or Division Head.

  • Regular attendance on property is required for this position.

  • Performs a variety of other duties as assigned.

Position Requirements:

Required Experience/Skill and Abilities:

  • At least 5 years hotel experience required in either sales or operations. (Or combined). Administration or Manager Level is acceptable.

  • Prefer (5) years Catering Experience required in similar luxury hotel environment (or related experience).

  • Proven track record in planning and executing large scale events.

  • Ability to work independently or as part of a team.

  • Prefers to work in a challenging and rewarding work environment.

  • Experience with Salesforce/Delphi software required.

  • Ability to pay attention to detail, work in a fast paced environment, handle multiple tasks and have a high level of patience. Ability to use sound judgment.
  • Ability to comprehend and follow oral and written instructions and procedures.
  • Ability to prioritize work and work well under pressure.
  • Ability to comprehend and perform mathematical calculations.
  • Ability to operate a moderately complex computer system and various software such as Microsoft Word, Excel, Outlook, Fidelio, Delphi and Group Wise.

Required Experience/Skills and Abilities

  • High School Diploma or General Education Diploma required.

  • Associates or Bachelors degree in business management/hospitality preferred.

  • At least 3 years Administration or Manager Level hotel experience required in either sales and/or operations.

  • Experience with Salesforce/Delphi software required.

  • Ability to pay attention to detail, work in a fast paced environment, handle multiple tasks and have a high level of patience. Ability to use sound judgment.

  • Ability to comprehend and follow oral and written instructions and procedures.

  • Ability to prioritize work.

  • Ability to comprehend and perform mathematical calculations.

  • Ability to operate a moderately complex computer system and various software such as Microsoft Word, Excel, Outlook, Fidelio, Delphi and Group Wise.

Licenses/Certifications

  • Certification of tuberculosis clearance required.

  • CPR and Standard First Aid Certification preferred.

  • Valid drivers license required.

  • Honolulu Liquor Commission (blue) Card required.

Communication Requirements

  • Ability to communicate effectively in English both verbally and in writing.

  • Ability to effectively deal with internal and external customers, some of whom will require high levels of maturity, patience, tact and diplomacy to diffuse anger, collect accurate information and resolve conflicts.

Physical Requirements:

  • Ability to occasionally lift 20 pounds.

  • Ability to frequently bend.

  • Ability to occasionally squat, kneel and reach above shoulders.

  • Ability to frequently perform repetitive hand motions.

  • Ability to move throughout the work area while performing the essential job functions.

  • Ability to push/pull 40 pounds with wheeled assistance.

  • Ability to stand/walk for extended periods of time.

  • Assigned shifts may frequently be both indoor and outdoor environments. Indoor environments may not always be air conditioned.

Other Requirements:

  • Reports all suspicious persons or activities and hazardous or unsafe conditions to the Security Department.

  • Provides instruction and/or guidance for guest and employee safety in fire or other emergency situations.

  • Responds to guest questions. Provide guest assistance, direction and information as requested when working in public areas.

  • Ability to work varying shifts and maintain attendance in accordance with the hotels attendance policy.

  • Ability to comply with all hotel rules and regulations including policies regarding safety and grooming standards.

  • Must maintain a neat, clean and well-groomed appearance as outlined in the employee handbook.
