POSITION SUMMARY:

Active top secret security clearance required

In this position expect to oversee and manage the quality control functions for the mailroom operation. This includes coordinating with all internal departments to ensure successful production flow and processing, providing mailing, shipping, quality control and technical knowledge to provide the best services for internal and external clients. Works with internal professionals and customers with products and workflows of moderate complexity. Provides daily quality control checking on all outbound mailroom operations

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • The Mailroom Quality Assurance/ Track and Trace lead (FBI HQ, Washington DC) will report to the Deputy Program Manager and will be responsible for activities involving Quality Assurance (QA) and Track and Trace activities.
  • Performs a physical audit and quality control checking of 50% of the non-critical packages and 75% review of critical packages.
  • Performs causative research activities on missing, lost, or stolen mail products
  • Performs inbound and outbound mailroom shipping and receiving functions
  • Provides critical information for audits and reviews/analyzes data and documentation
  • Maintains all required documentation to meet the required security compliance standards and to meet audit control standards, Standard Operating Procedures (SOP), Forms, spreadsheets, data analytics

Works closely with Mail Center Operations

  • Identifies the interface of key activities within and between the functions of the organization
  • Performs tasks based on established procedures
  • Applies experience and skills to complete assigned work
  • Works within established procedures and practices
  • Works with a moderate degree of supervision
  • Impacts a team, by example, through the quality service and information provided
  • Follows standardized procedures and practices
  • Receives regular, but moderate supervision and guidance
  • Manages own workload

EDUCATION & EXPERIENCE REQUIREMENTS:

  • Minimum 5-years related professional experience in Mailroom operations/ quality control for medium to large government organizations.
  • You must be a very strong communicator and demonstrate and ability to motivate and influence co-workers and other staff to maintain and deliver results that always satisfies the client's and business needs
  • Experience of working in a high-volume mailroom facility
  • Experience of working with teams in a collaborative environment
  • Must possess excellent communications skills (i.e., interpersonal, written, verbal and presentation)
  • Has developed skills in a range of processes, procedures, and systems
  • Integrates teams for the best outcome and achievement of company goals
  • Exchanges information and ideas effectively
