Responsibilities
• Coordinate with local vendors to resolve office, warehouse facility, parking, and other maintenance issues.
• Coordinate with HQ HR to collect job applicants’ and new hires’ documents, arrange in-person interview, conduct new hire orientations, assign employee trainings, and all other HR tasks.
• Update, maintain, and coordinate a safety program based on OSHA and DOT program.
• Update and maintain leasing contracts for office and Company autos, trucks, and equipment.
• Ensure that the building is compliant with Health and Fire department regulations.
• Update and recordkeeping Company properties
• Follow up auto accident and property damage claims and ensure correct reporting to appropriate vendors
• Order office supplies as requested by departments
• Update and maintain Company asset
• Coordinate to relieve receptionist during breaks and time off
o Greet and direct clients and visitors
o Answer, forward, and screen phone calls
• Coordinate and/or support Company events and activities (Physical Inventory, trade show, etc.)
• Building maintenance including inspections and testing.
• Prepare, review, update, and maintain legal business documents with company compliance, business insurance, contracts, registration, and general business
• In charge of record filings, report/form typing, memo or letter preparations for management and other departments such as Sales, Purchasing, Accounting and Warehouse
• Be responsible for shipping and receiving logistics, customers’ orders, inquiries, and returns, and POs for Purchasing and Sales Department
• Manage calendars and appointment scheduling
• Assure accounting documents and records are accurately managed and maintained
• Assure simple bookkeeping, A/R, A/P, and daily journal for accounting purposes are well performed
• Review billing statements, invoices, and similar documents for accuracy; alerts management of any discrepancies.
• Attend Company events and functions outside of normal working hours
• Other duties as required from manager
• Obligation to answer to all management as requested
Other Requirements
• Business level English – read/write/speak/listen
• Basic level Spanish preferred – read/write/speak/listen
• Ability to work independently
• Ability to adapt to frequent changes in assignments and workload
• Associate’s Degree or above required. Bachelor’s Degree in Administration or other relevant fields preferred
• 5+ years of progressive experience in office administration preferred
Knowledge and Skills
• Basic mathematical knowledge – markups, discounts, currency, etc.
• Problem-solving skills
• Advanced Microsoft Office proficiency
• Communication and interpersonal skills
• Exceptional organization and time management skills
