Our client, a luxury company in Philadelphia, is seeking a Corporate Receptionist to be the first impression of their corporate headquarters. You will be the first contact for every guest, vendor, and employee at the Philadelphia corporate office. The Receptionist supports the day-to-day operation of the office, using exemplary communication, organizational, and customer service skills.


Responsibilities:

Customer Service & Hospitality

  • Greet every employee, guest, and vendor as they come through the door with professional enthusiasm.
  • Coordinate guest arrival: manage parking, offer welcome refreshments, communicate guest’s arrival to the appropriate party, and make conference room arrangements/reservations.
  • Answer phone calls, transfer calls, take messages, and relay messages to the appropriate parties.
  • Coordinate all employee recognition occasions including birthdays, anniversaries, showers, etc.
  • Coordinate meal orders, delivery, and setup for special meetings.


Kitchen & Office Management

  • Maintain and track kitchen inventory, restocking the following at the appropriate intervals: pantry snacks, yogurts, fresh produce, beverages, coffee, paper products, etc. Order only approved products and do not make substitutions without permission.
  • Maintain and track office supply inventory, restocking at the appropriate intervals. Order only approved products and do not make substitutions without permission.
  • Receive kitchen and office supply deliveries, unbox, and “install,” products in kitchen or supply closet.
  • Maintain coffee station: periodically make coffee throughout the day, schedule routine maintenance and cleaning of specialty coffee equipment.
  • Ensure a high level of kitchen and restroom cleanliness, communicating problems or emergencies with on-site janitorial staff.
  • Ensure general office tidiness.


Administrative Responsibilities

  • Organize and schedule meetings and appointments for Corporate Office employees. Manage the Corporate Office Conference Room schedules.
  • Make shipping labels and drop off packages when needed.
  • Sort and distribute mail and packages to corporate office. Keep package storage area organized and tidy.
  • Retrieve packages from nearby mailroom.
  • Make company IDs and business cards.
  • Maintain order in the corporate office parking lot; call the tow company to remove unauthorized vehicles.
  • Sending email communications to corporate.
  • Assist with new employee onboarding as needed.
  • Assist executives and managers in various projects and tasks as needed.


Qualifications:

  • Strong problem-solving ability: the Receptionist understands the importance of following through.
  • Exceptional communication skills: whether in-person or over the phone, the Receptionist can provide information, direction, and instruction – along with quality conversations
  • Engaging writing and speaking abilities with keen ability to connect to others.
  • Good time management skills: the Receptionist can juggle multiple tasks and time-sensitive requests while keeping composure and positivity.
  • Strong organizational skills.
  • Proactive approach to getting things done, keeping spaces tidy, and upholding excellence.
  • Attendance is an imperative job function.
  • Ability to perform lifting (at least 50lbs), stand and walk for 8 hours, and perform other physically demanding duties as directed.
  • Employees must fulfill the performance standards of this position and comply with policies, rules and procedures of the company, including those set out in the Employee Handbook or otherwise communicated (verbally or writing) to employees.
  • Bachelor’s Degree in Business.
  • Must have a valid Driver’s License and a car.
  • Must maintain confidentially on all sensitive materials.
  • Public Notary is preferred.
