We are seeking an experienced Executive Assistant in Plano, Texas to provide top-tier support to our firm’s high-level management, including the President and COO, as well as other administrative managers. This role involves assisting with scheduling, special events, projects, initiatives, and programs, functioning as a high-level liaison to clients and business partners, and exercising discretion and independent judgment on significant matters. An ideal candidate will have high level of professionalism, attention to detail, and the ability to work independently and make decisions on significant matters.
Essential Duties and Responsibilities
- Provides direct support to high level firm managers. Drafts and manages correspondence and communications, schedules appointments, manages calendar, and coordinates travel. Prepares travel arrangements and itineraries and approves and processes travel reimbursements.
- Compiles reports, maintains records and other documents. Provides support for long-range planning and scheduling activities. Provides expert advice to management.
- Coordinates special events.
- Acts as the President’s representative in dealing with third parties.
- Researches and handles special projects.
- Makes arrangements for clients and business partners, as well as potential clients and business partners and welcomes them on behalf of the firm’s President.
- Arranges firm social functions and receptions hosted by firm.
- Conducts research for and briefs the President and other managers prior to meetings and events.
- Assists with budgeting, expense reporting, and financial record-keeping.
- Serves as liaison and point of contact for the President
Minimum Requirements
- Bachelor’s degree in applicable field or equivalent combination of education and experience
- At least 7-10 years of experience in executive support roles. Prior experience in the legal sector is highly valued, as it ensures familiarity with industry-specific practices and demands.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and work cooperatively with others. Interpersonal and communication skills.
- Excellent written and verbal communication abilities.
- Strong time management, planning and organizational skills.
- Ability to exercise discretion and maintain confidentiality.
- Strong interpersonal skills to effectively liaise with clients and business partners.
- On-site position in Plano, Texas. This is not a remote position
- Up to 10-15% travel required to other offices
