Job Description
Purpose of Position:
Under the direct supervision of the Department Leadership, carries out or performs managerial and clerical activities in accordance with the established policies and procedures of the hospital.
Administrative: The Coordinating Manager "A" in the Guest Relations Department performs managerial and operational functions in order to achieve and maintain a seamless day-to-day operation and patient satisfaction.
Duties and Responsibilities:
- Support the Department Leadership with managing day-to-day administrative and operational functions of the Guest Relations Office. Provide Leadership with administrative support and assistance as needed.
- Plan, coordinate, prepare for, and support meetings including scheduling and preparing appropriate meeting space, ordering catering, providing hospitality services to guests and assisting with materials, Initiates/preparing and maintaining memoranda, reports, spreadsheets, charts, presentations, technology, and other resources as requested and directed
- Participates in budgetary planning, reviews operating costs, performs cost studies, and prepares OTPS/PS departmental budget.
- Reconcile supply orders with purchase orders and invoices for Guest Relations department-wide as well as materials management procurement, and troubleshoot account issues in collaboration with the Accounts Payable and Central Procurement Departments
- Demonstrate a positive and pleasant attitude conducive to the workplace which enhances Person-Centered Care - ICARE with Kindness Value Standards of customer experience, and promotes the Mission and Vision of NYC H+H Lincoln.
- Participate in the hiring process of new employees and assist Leadership with review of performance evaluations for accuracy and submission.
- Complete documentation for progressive disciplinary action for staff not adhering to compliance with corporate policy and procedures.
- Assist in ensuring TJC readiness; type, revise, and prepare polices, survey compliance documents, and plans of corrections.
- Responsible for the supervision of the Clerical staff and/or Client Navigators, schedule, training, assignments, evaluations, tracking, and trending productivity.
- Liaison: Assist with all NYC H+H-Lincoln services and departments' initiatives to ensure that adequate services/resources are offered to meet the needs of patients and the community we serve.
Minimum Qualifications
1. A Baccalaureate Degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling, and three (3) years of full-time experience in medically-oriented health care and medical support systems environment, two (2) years of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician or three (3) years of responsible level experience in business management systems or general administration including two (2) years in a supervisory or administrative capacity.
2. A Masters Degree from an accredited college or university in the disciplines listed in (1), and two (2) years of full-time experience as listed in (1), plus one (1) year experience in an administrative or supervisory capacity in occupations as listed in (1); or,
3. A satisfactory equivalent combination of training, education and experience.
