Job Summary:



The receptionist must ensure that all visitors’ needs are dealt with efficiently and properly with the highest level of customer service. In addition, the receptionist will perform a wide range of administrative duties. Each area of duties is designed to ensure that the receptionist position provides the proper first impression of the company to all visitors



Key Duties, Responsibilities and Accountabilities

Reception Duties

  • Greet visitors and direct them to meetings or appointments
  • Issue security passes when necessary and offer refreshments
  • Handle basic inquiries of visitors and HWI staff
  • Place, receive and route incoming calls through switchboard and provide information to callers in a professional manner.
  • Arrange car service for visitors and HWI staff



Logistics Duties

  • Maintain the reception area, kitchen, printer areas, and conference rooms in an orderly and tidy manner by removing clutter and keeping each area clean with the help of the housekeep
  • Manage and order supplies for the 717 office
  • Accept deliveries and arrange for FedEx mailings



Administrative Duties

  • Sort and distribute incoming mail
  • Provide support to the HR team
  • Organize meals and drinks for meeting
  • Perform general administrative duties including filing, word processing, data entry and internet research tasks
  • Work on other duties or projects as assigned by the Director of Human Resources



Desired Skills and Experience

Job Qualifications

  • Bachelor‘s degree
  • Excellent written and verbal communication skills
  • Must be proficient in Microsoft Office (especially Excel)
  • Knowledge of telephone consoles and related equipment
  • Ability to interact and communicate with people by telephone.
  • Remain calm during stressful situations
  • A friendly manner with visitors
  • Strong interpersonal skills and effective decision-making ability
  • Dependable, outgoing, organized, patient, tactful and personable
  • A strong desire to work in a service-oriented environment.
  • Initiative and confidence in all aspects of the position
  • Sound knowledge of Harry Winston, Inc.
