Inserso Corporation is seeking an Administrative Assistant to provide general back-office support. Duties include phone and front desk reception, maintaining office supplies, data entry, and other administrative duties as assigned.


Responsibilities:

  • Receive visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately; monitor visitor access and maintain logbook.
  • Answer, screen, and direct incoming phone calls and handle caller inquiries whenever possible.
  • Receive and distribute mail and office deliveries; prepare labels, documents, and packages for mailing; coordinate the pick-up and delivery of express mail services; and assist with the mailing of letters and packages.
  • Maintain office inventory and marketing supplies and resolve vendor-related issues as needed.
  • Run company errands to post office and Fedex and office supply store as needed.
  • Assist in the planning and coordination of meetings and conferences, including presentation support, catering, and reserving/arranging meeting spaces.
  • Assist Programs and HR in tracking and maintaining employee and subcontractor required technical certifications and re-certification due dates.
  • Assist Quality and HR in tracking and maintaining employee annual and re-fresher corporate training certifications.
  • Participate in new hire onboarding training for employees that may work at the office.
  • Serve as liaison with building property management and maintenance.
  • Serve as fire safety warden in the event of a building fire alarm/evacuation and another fire safety warden is not present in the office.
  • Perform tasks and duties relevant to any of various roles or responsibilities assigned by supervision and determined by management to be appropriate for this position.


Required Skills/Experience:

  • 2+ years of general office experience.
  • Able to work at a desk in front of a computer for 6-8 hours per daily.
  • Effective verbal and written communication skills and the ability to interact effectively at all levels with a positive demeanor.
  • Proficient in Microsoft Office Suite (Word, Excel, and Outlook)
  • Strong self organizational skills, detail orientation, and ability to multitask.
  • Physical and/or Mental Qualifications: Continuous sitting or standing at a workstation while operating a computer.
  • This position requires the ability to transport objects weighing up to 25 lbs.
