Our client, one of the biggest names in entertainment, is seeking an Event / Admin Coordinator to join their team for a 2+ year full time contract. This role operates four days per week onsite in Burbank and remotely on Fridays.


  • Hourly rate range: $30-36/hr depending on experience


Responsibilities:


  • Plan, organize, and manage events with internal and external partners.
  • Secure event space and vendors.
  • Send executive-level invites and monitor RSVPs.
  • Communicate with event guests and manage event logistics.
  • Research and update distribution lists, collect copy, and oversee approvals for all event graphics.
  • Collaborate with peer teams for seamless event execution, including logistics, speaker coordination, content development, and attendee experience.
  • Serve as the first point of contact for all event productions.
  • Manage the budget for annual events.
  • Provide comprehensive coordination and administrative services for the innovation team.
  • Manage and coordinate internal and external meetings with key stakeholders, including Studio Executives and Innovation Partners.
  • Create agendas, take notes for weekly meetings, capture team feedback, and monitor action items.
  • Assist with meeting organization and coordination for Partner Meetings with the Business Development team.
  • Organize and execute purchasing through the entertainment brand’s internal PO and expense system, including new hardware, lab supplies, and craft services.
  • Accurately and timely track all ETAs for deliveries and maintain ongoing expenses and budget for recurring items.'
  • Efficiently order equipment/software related to teh innovation team's initiatives.
  • Manage the team's email account, ensuring a 4-hour or less response time, with zero unanswered emails at the end of each business day.
  • Escalate any issues or questions to the Senior Manager, Portfolio & Spaces as necessary.
  • Manage team calendaring, including interfacing with high-level executives and coordinating with the Senior Manager, Portfolio & Spaces.
  • Communicate the daily schedule to the team to ensure all appointments are appropriately staffed.
  • Handle team travel arrangements and travel-related documentation.


Required Qualifications:


  • Proficiency in Keynote, Airtable, Excel, Google Workspace, MS Office, Adobe, or Photoshop.
  • Bachelor’s degree or equivalent work experience.
  • Excellent communication skills, team player, resourceful, self-motivated, highly organized, and a self-starter.
  • Corporate savvy with common sense, eagerness to learn, and the ability to ask questions.
  • Pragmatic and flexible.
