Dispatch and Procurement Coordinator

JOB SUMMARY:

The Dispatch & Procurement Coordinator will be responsible for scheduling and efficiently dispatching drivers, work crews, and vehicles and/or equipment to appropriate locations. Working with the Lead Dispatcher to facilitate the logistics for all equipment and labor nationwide. Assist in coordinating third party rental equipment and other ancillary items.

ESSENTIAL JOB FUNCTIONS (including but not limited to):

·        Assist with the completion of daily work schedules. Supporting the dispatch functions of all locations, ensuring that the entire fleet and field labor are effectively and efficienty utilized.

·        Preparing work orders for crews or receiving work orders from work crews via Salesforce Field Service. Maintain schedules, records, and logs of daily activity of equipment and labor as well as daily activity reports.

·        Coordinate third party rental equipment and other ancillary items for job scope

·        Relaying information to and from work crews, supervisors, and/or Branch Managers. Speaking with supervisors or customers to resolve problems, requests for services or equipment.

·        Coordinate and manage 3rd party transportation providers to facilitate any overflow requirements, focused on effectively managing the spend and creating initiatives to reduce the dependency on outside trucking.

·        Monitor and track all 3rd party storage items at all facilities. Working with local branch management to follow internal procedures, including receiving, storing, releasing property, and appropriately invoicing

·        Manage GPS and related systems

·        Cataloging and organizing work requests, expenses for services performed, inventory records and other information.

·        Securing permits and escorts as needed to facilitate daily operations.

·        Assist with new hire onboarding and layoff communications. Gathering all documents from the field and delivering to payroll in a timely manner.

·        Coordinate with the service department to schedule repairs and maintenance for fleet equipment.

·        Assist with scheduling jobsite specific training, background checks, certifications, and drug testing.

·        Work with safety department to ensure that safety and insurance files are compliant and complete.

EDUCATIONAL AND PRACTICAL EXPERIENCE:


·        Associates Degree in operations management, construction, or transportation/logistics related field, preferred. (Tenure in similar position may be considered in lieu of educational preferences.)

·        2-5 years of experience dispatching crews and equipment and related resources in the mobile crane, construction or transportation related field.

 

SPECIAL SKILLS/ ABILITIES REQUIRED AND PRACTICAL EXPERIENCE:


·        Strong oral communication skills necessary to communicate over the telephone and in-person with all company personnel, clients and suppliers.

·        Physical and mental ability to work in an environment with rapid business growth and pressure due to business demands.

·        Outstanding verbal, written, and interpersonal communication skills.

·        Strong conflict resolution and critical-thinking skills.

·        Excellent organizational skills and multi-tasking abilities while dealing with continuous interruptions.

 

PHYSICAL REQUIREMENTS:

 

·        Some physical effort required. Must be able to tolerate extended periods of sitting or standing; frequent use of a computer and cell phone and have the ability to communicate and hear effectively.

·        The employee is often required to stand and walk safely in the office and at job sites, reach with hands, arms and stoop and bend and lift/carry up to 30 lbs.

·        Flow of work and character of duties involves normal visual and mental attention.

·        Duties require willingness to work a flexible schedule and/or weekends.
