Position Overview:

The Executive Administrative Assistant provides administrative and analytical support reporting directly to the Chief Lending Officer for Fremont Bank. The candidate’s responsibilities include calendar management, reviewing emails, scheduling meetings, processing expense reports, event planning support, preparing PowerPoint Presentations, and monthly board reports, and supporting annual strategy and budget efforts. This candidate will represent this executive leader with both internal and external constituents assuring the highest and best use of time and schedule for the Chief Lending Officer.


Role and Responsibilities:

  • Coordinate heavy calendar schedule and prepare as appropriate such as providing meeting materials ahead of time
  • Collect, organize, and present regular weekly, monthly, and quarterly reporting
  • Create PowerPoint presentations for the Board, Committee, and Town Hall Meetings
  • Work effectively with Special Events in the planning and execution of client-facing and leadership-planning events
  • Work closely with the Marketing Data Team on projects, performance report distribution, and information formats
  • Coordinate schedule and information for business reviews, financial reviews, and performance review process
  • Work closely with Human Resources regarding HR-related actions and communications
  • Demonstrate flexibility in scheduling and prioritizing meetings and deadlines with various constituents
  • Coordinate communication and correspondence regarding client concerns, complaints, and compliments on behalf of Community Bank to ensure both timely and professional response
  • Miscellaneous duties as assigned

Minimum Qualifications:

  • Associate degree in business related field or equivalent work experience
  • Minimum 5 years of administrative experience supporting at the senior executive level
  • Administrative Certifications preferred
  • Experience with Microsoft Suites (Teams, Word, Excel, Outlook, PowerPoint) intermediate to advanced required
  • Experience working with executives, internal and external customers
  • Ability to create executive-level presentation materials with graphs/illustrations, and proofread content for accuracy required
  • Excellent written and verbal communication skills
  • High level of professionalism and collaboration
  • Organize tasks and projects to meet timeline requirements
  • Show initiative, anticipate needs, and be self-directed
  • Patient and very attentive to detail while demonstrating grace under pressure
  • Willingness to help and contribute to complete mission-critical initiatives
  • Ability to learn and apply Fremont Bank’s policies, practices, and Six Diamond experience
  • Willingness to travel on a limited basis, be flexible, and be identified as a team player
