Job Title: Administrative Support Specialist (Automotive Group)

Overview: We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our automotive group. In this role, you will be responsible for handling purchase orders, managing rewards programs, and performing a variety of other administrative duties to support our operations. This position requires excellent multitasking abilities, strong communication skills, and a proactive approach to problem-solving. This is an excellent opportunity for an administrative professional to contribute to the success of our dynamic and growing automotive group.

Key Responsibilities:

  1. Purchase Order Management:
  • Create, review, and process purchase orders for various departments, ensuring accuracy and completeness.
  • Monitor and track purchase orders from creation to delivery, resolving any discrepancies or issues that arise.
  • Maintain accurate and up-to-date records of purchase orders, invoices, and related documents.
  1. Rewards Program Administration:
  • Manage and coordinate the company’s rewards programs, including employee recognition and customer loyalty programs.
  • Track rewards program participation, process rewards and incentives, and ensure timely distribution.
  • Communicate with employees and customers regarding rewards program details, eligibility, and benefits.
  1. General Administrative Duties:
  • Provide administrative support to various departments, including scheduling meetings, managing calendars, and preparing documents and reports.
  • Answer and direct phone calls, respond to inquiries, and provide excellent customer service to internal and external stakeholders.
  • Maintain and organize office files, records, and supplies, ensuring a clean and efficient work environment.
  • Assist with event planning and coordination, including company meetings, training sessions, and special events.
  1. Data Entry and Reporting:
  • Perform accurate and timely data entry for various administrative tasks, including maintaining databases and spreadsheets.
  • Generate and distribute reports as needed, ensuring data accuracy and relevance.
  1. Vendor and Supplier Coordination:
  • Communicate with vendors and suppliers to ensure timely delivery of goods and services.
  • Resolve any issues related to orders, deliveries, or billing discrepancies.
  1. Process Improvement:
  • Identify opportunities to streamline administrative processes and improve efficiency.
  • Implement best practices and suggest improvements to enhance overall administrative support.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Problem-solving skills and a proactive approach to addressing issues.
  • Ability to maintain confidentiality and handle sensitive information.
