The Vice President role: Support the family regarding management of expenditures, investments and lifestyle as well as assist in informed decision-making regarding these areas. Serve as a key contact with family banks, law firms and accounting partners in order to support and advise Principals regarding current state of all entities as well as future opportunities. Note this role does not include oversight of investment portfolio however the VP should have a strong understanding of bank’s recommended strategies and approaches to asset management and oversight.


An effective individual in this role will leverage the Principals’ time, allowing them to focus on their individual business interests, passions and goals while also helping to educate the second generation via participation in the Family Advisory Council and in their individual balance sheets and lifestyle expenses. The VP must be self-sufficient but also confident in proactively reaching out to Principals as needed to keep them informed. Weekly staff meetings with Principal should be efficiently organized and used to gain feedback, answer questions and plan for future funding needs or other key initiatives.


Profile: Mature, trustworthy, adaptable leader with significant financial management experience and excellent communication skills. Ideal candidate will have the ability to anticipate the Principals’ needs and interact effectively with them, family members, executives at family-run businesses, family office employees, and internal and external advisors.


Roles and responsibilities:

Comprehensive management of expenditures, receivables, payables, and taxation. Utilize external firms (Ernst and Young) as well as internal processes to ensure timely facilitation of all receivables, payables and accurate reporting back to family members, advisors and other entities as required.

Ensure that annual budgets, quarterly forecasts, and weekly reporting are timely and accurate prior to delivery. These reports cover all principals plus multiple entities including primary and secondary households, other family-owned businesses, and extracurricular initiatives.


Oversight of family liquidity planning, including comprehensive understanding of cash and investment accounts, properties, trusts and other interests. This is predominantly handled through integration with existing systems and office staff, with the support of third parties as necessary. Note that no investment guidance is required as KGL does not oversee external investment portfolios. Key strategic partners include Goldman Sachs, JP Morgan and Citi Private Bank.


Office executes approximately payables across Principals and family members

Oversees expenses for primary estate and additional properties.

Manage payroll, benefits and annual budgets and forecasts for family-owned entities

Coordinate directly with external HR firm

Oversight of financial reporting and tax compliance processes

Maintain a financial and operating environment that is focused on ethical standards and the family’s core values

Interact with larger family entities including Family Office of Principal’s father and siblings, Family Foundation and public company executives regarding annual giving, cross-entity initiatives and regulatory filings/voting

Principals operate 3 public companies and one private company and between them serve as directors on 8 public company and 1 private company board. Four of the second-generation adult children also serve on public company boards.

Process Improvement: Identify opportunities to streamline workflows, enhance processes, and automate tasks to improve productivity and reduce operational costs.


Communication

Serve as the primary interface with the Principals, family and key executives at bank, law firms, accounting firm and family-controlled companies


Counsel

Collaboration with family member board of directors

Develop and implement the family office strategic business and operational plan

Ensure that best practices are in place for accounting and financial management, tax, estate planning, compliance and operations charged with family office tax and accounting reporting

Update operating procedures and ensure adherence
