What is this career opportunity?

The (TRS) serves active and retired teachers and educators in the State of Montana. Its primary purpose is to administer their pension plan, which includes (but is not limited to) payment of retirement benefits, collection of member contributions and enrollment of new members.

We are looking for an Executive Secretary for the Teachers’ Retirement System to serve as the front-line receptionist for the agency.

·Technical proof reading and editing for grammatical accuracy;

·Attending board meetings and preparing agendas, and composing minutes;

·Scheduling appointments, making travel arrangements;

·Providing a variety of file management, technical writing, and tracking functions to support the Chief Legal Counsel;

·Responding to inquiries from members;

·Answering and directing phone calls;

·Preparing and distributing correspondence and reports;

·Receptionist duties such as typing, filing, photocopying, and ordering office supplies.

What are we looking for?

Education and Experience:

High school diploma or equivalent; AND Two years of experience as an executive assistant or secretary; experience in retirement or benefits is preferred; OR Alternate combinations of education and experience will be considered on a case-by-case basis.

Competencies:

Administrative and clerical procedures and systems such as word processing, managing files and records, taking minutes and transcription, office procedures and terminology; Structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; Word, Excel, and Outlook; Legal terminology and formatting. Operate office equipment such as:recording and transcribing equipment, personal computer, printers, copiers, and other common office equipment; Handle detailed complex projects; Edit, type, and proof documents; Type at least 55 wpm and use a 10-key calculator; Providing excellent customer service in person and over the phone.
