Position Summary:

The da Vinci Center is seeking a dedicated team player to join the Shift Labs as our Administrative Coordinator, spearheading administrative coordination across our dynamic operations, programs, and events. The Administrative Coordinator is at the heart of our collaborative environment, managing multiple projects simultaneously and ensuring seamless day-to-day functions. This role offers an exciting opportunity for someone who thrives in a team-oriented setting and enjoys the buzz of event management and program facilitation.

Typical Responsibilities:
Act as the primary point of contact for Shift Retail Lab and the VCU da Vinci Center, providing exceptional customer service and ensuring efficient operations.
Manage reception duties and maintain office and breakroom supplies inventory.
Coordinate room scheduling and usage for Shift Retail Lab spaces, including classrooms, co-working areas, and maker spaces, for both internal and external events.
Oversee all aspects of event organization and management, including pre-planning logistics, set-up, coordination with stakeholders, and post-event follow-up.
Assist with general office tasks, technical support, and set-up for various lab spaces.
Coordinate office staff activities such as process improvement, administrative and organizational tasks, arranging travel, etc. to optimize efficiency and productivity.
Oversee stock of Shift Lab & classroom resources and put in digital orders + in person store runs for both spaces’ supply needs.
Supervise and manage student workers as needed
Execute special projects as assigned by the Director of Innovation and Design.

Minimum Qualifications:
Excellent communication and customer service skills.
Ability to work collaboratively in a team environment, with flexibility to assist outside regular hours as needed.
Proficiency in basic computer software, including Google Drive.
Strong attention to detail and organizational abilities.
Exceptional interpersonal skills, time management, and reliability are essential.
Ability to move furniture (up to 25lbs) for conference room set-up.
Experience working in and fostering a diverse and inclusive work environment or the commitment to do so as an employee at VCU.

Preferred Qualifications:
2+ years of administrative support experience.
Prior experience in a higher education setting.
Familiarity with P-Cards, eVA, RealSource, Banner, and/or RealTime systems.
Experience managing student workers.

Typical Schedule: Monday - Friday, 40 hours per week, and may require periodic weekend and evening hours. This position is in-person at the da Vinci Center in Richmond, VA.This position is eligible for a limited hybrid and flexible work schedule once training is complete and must be coordinated and approved by the supervisor of this role. Hybrid and flexible arrangements may not be possible during campus events or high student service periods.
