Description

The Long-Term Services & Support (LTSS) area of Health & Human Services is seeking a Principal Office Specialist. This position will collaborate with one other Principal Office Specialist team lead in working with the scheduling team to successfully provide phone calls to individuals, in compliance with established program policies and protocols for the LTSS Initial Assessment (IA) service area.
 
Location and hours:
This position is remote. Remote workers may be required to come on-site 0 to 12 days a year for work meetings, trainings, or for any other reasons that their supervisor may deem necessary (may include additional days for onboarding and new employee training). Supervisors will provide as much advance notice as practicable. Work hours are Monday through Friday from 8 a.m. to 4:30 p.m. Based on business needs of this position, hires must live in or relocate to Minnesota.

In this position, you will:

Co-lead and support the LTSS IA scheduling area by coordinating, developing, implementing, and overseeing day-to-day phone activities and work processes in collaboration with one other team lead and with guidance from OS supervisors. Create and review team meeting agenda; coordinate and lead team meetings. Provide onboarding and supplemental training to new and existing staff. Assist in the development and implementation of new procedures and workflows for the LTSS IA scheduling job function.  Act as backup for IA scheduling. Manage incoming requests for internal and external customers; explain a variety of requirements, policies, and procedures regarding services; resolve various customer concerns and issues.  Act as a liaison between schedulers, supervisors, and internal partners. Monitor functionality of OS scheduling systems and ensure that daily dedicated/assignable tasks are adequately staffed. Create, coordinate, and manage scheduling team calendar Compile data, generate reports, and submit weekly stats to IA, FDSS, and OS supervisors. Assist as needed on other activities and special projects to meet the needs of the LTSS OS service area.  Need to have:
One of the following:  Three or more years of office clerical experience. 30 months or more of office clerical experience and completion of the Office Specialist Pathway Training program. A combination of office clerical experience and post high school education, totaling 3 years or more (3 semester credits = 1 month).

Experience:Using Microsoft Office applications including Excel, PowerPoint, SharePoint, Teams, Visio, and/or Word.Using databases and performing data entry where accuracy is essential.Working with a team in a lead capacity with emphasis on training and directing the work of others.Reviewing and editing process documents. Working with computers and knowledge of word processing.Working in Long Term Service and Support Service Area.Working with SSIS, MMIS, ECF, CARL, and MnCHOICES.  Ability to:Communicate with the general public and staff members with tact and discretion.Handle multiple problems and assignments simultaneously and to work independently with minimal direction.Proofread numbers, correspondence, and other written materials for spelling, grammar, and format accuracy.Read, understand, and relay a variety of correspondence, policies, and procedures; read and follow complex instructions.Recognize and respect cultural differences and provide culturally appropriate services.Handle multiple complex and simultaneous tasks by setting priorities to meet deadlines.Code and classify information according to guidelines.Take initiative in solving problems, use sound judgment when approaching problems; read and follow complex instructions.Communicate effectively both verbally and in writing.
