General Overview

Performs specialized administrative work which includes completing internal operational audits to determine compliance within established guidelines, as well as a wide range of secretarial duties; handles a variety of situations and contingencies that may arise; assists in the coordination of various units or activities of the agency, department and/or division; assumes primary responsibility for key elements of administrative operations; demonstrates expertise and comprehensive knowledge of various aspects of support operations within a given purview.

Key Responsibilities and Duties

Completes internal operational audits to determine compliance with the guidelines established by department General Orders, department Rules and Regulations, the American Correctional Association Standards, Illinois Compiled Statutes, Illinois Jail Standards and Duran Consent Decrees.

Performs highly specialized administrative and/or secretarial work; handles a wide variety of complex administrative situations and conflicts within the department/division requiring discreet and authoritative intervention. Oversees the operations of various interactive clerical and secretarial support units; functions as a key facilitator to ensure that critical administrative support is forthcoming in a timely and efficient manner.

Reviews completed work performed by the Records Office Administrative Assistant’s to assess completeness, accuracy, and overall quality. Reports deficiencies to supervisors and makes corrections as needed. Reviews court discharge records to confirm discharge dispositions.

Verifies record file updates for accuracy and completeness. Reviews County sentence calculations for accuracy; possesses general familiarity with the Cook County Department of Corrections Records filing system. Reviews completed work of the Receiving/Classification (RCDC) staff to assess completeness, accuracy, and overall quality of the intake process. Reports deficiencies to supervisors and makes corrections as needed.

Maintains a high level of interactive communication with professional staff, supervisors, and managers in order to properly assess the clerical, secretarial and administrative needs and urgencies of the department.

Utilizes standard keyboard to apply various computer or software applications to assigned tasks and to process information, or may so direct others, as required.

In the Executive’s absence, ensures that requests for action or information are relayed to the appropriate staff member; as needed; interprets requests and helps implement action; makes sure that information is furnished in timely manner; notifies the Shift Commander of important matters, including emergency incidents.

Knowledge, Skills, and Abilities

Ability to read and understand court documents.

Possess capability to produce and access computer reports; accurately analyze and compare computer generated reports.

Ability to acquire a thorough knowledge of specialized administrative procedures and regulations particular to area of assignment.

Knowledge of good office management principles; knowledge of specialized administrative procedures and regulations particular to area of assignment.

Ability to make sound decisions and carry out programs affecting one’s own work and the work of others in a changing work environment.

Skill in the application of basic organization or bookkeeping principals and methods relative to maintaining important financial, statistical, or other records.

Good attention to multifarious detail, ability to proof, verify and edit complex data, transcribe, and cross reference data from personal computer and documents, ability to follow-up in a thorough and timely manner relative to unresolved business.

Skill and knowledge, as may be pertinent to the area of assignment, in connection with correct technical, legal, and other language usage, punctuation and grammar, and their proper application to business forms, letters and records.

Skill and accuracy in the control, organization and maintenance of files and records according to various methods.

Good communication skills: ability to exercise diplomacy, gather information from others and make inquiries; ability to convert information and explain or describe office policy and procedure to others in person or by telephone.

Skill in the operation of standard office equipment.

Skill in the application of complex instructions, written and verbal; ability to accurately relate and perform the duties of other support staff, as needed; ability to relieve management of certain administrative functions.

Required to successfully pass monthly evaluations and must take and pass a bi-annual Auditor Proficiency Test.

Ability to successfully meet all training and testing requirements within the three hundred and sixty-five (365) day probationary period

Minimum Qualifications

Possession of a high school diploma or G.E.D. test certificate.

Minimum of two (2) years of clerical or secretarial professional work experience.

Required to successfully pass and maintain a L.E.A.D.S. (Law Enforcement Agency Data System) Certification within two (2) months of hire date, with re-certification required every two (2) years.

Proficiency in Microsoft Word, Excel, and Outlook.

Ability to work any shift assigned, including days, afternoons, or midnights; must be capable of working holidays and weekends; must be capable of working mandatory overtime, as required.

Typing skills (35 w.p.m. with 95% accuracy) and familiarity with computer keyboards and data inputting, clearly legible handwriting, and proficiency in spelling. **Skills test will be administered**

Preferred Qualifications

Graduated from an accredited college or university with a bachelor’s degree.

Familiarity with the American Correctional Association Standards, Illinois Jail Standards, and Illinois Compiled Statutes.
