Responsible for interviewing, compliance, and training all new hires as well as performing ongoing training for existing staff. Assesses staff skills and works with account managers to ensure proper staff assignments. Assist account managers with necessary tasks.

RESPONSIBILITIES/DUTIES:

Compliance Duties:

  • Oversees licensing and regulations.
  • Perform clerical work pertaining to updating, filing, storing, and locating files, records, and reports
  • Run Background Checks for all New Hires as well as scheduling/conducting Drug Tests, maintaining regulatory compliance for both Corporate and State Standards.
  • Regularly Submit Original Applications and Renewals for Employee's Guard Licenses.
  • Regularly audit files to ensure correct placement, legibility, and other proper filing expectations according to program standards, Private Security Bureau regulations, and other federal, state, and local regulatory requirements
  • Monitor and evaluate the filing process and make recommendations for improvement for file location, storage, space allocation, and/or the filing process
  • Maintain records and files to meet department and facility needs and compliance with regulatory requirements
  • Ensure confidentiality of all information documented in files; adhere to HIPPA and State Security Bureau regulations

New hires unlicensed:
Schedule the employee for a fingerprint appointment and submit an individual non-commissioned license application. Follow up with applicants and DPS during the pending period.

New hires licensed:
Ensure the employee updates DPS with the AFS licensing number.

  • Remind employees of individual expiration dates. Schedule appointments for those needing assistance renewing online.
  • Writes and submits on-the-job injury and worker's compensation investigation reports.
  • Submits terminations to agencies where required within 7 days of AFS termination via mail or online.

Event Duties:

  • Work check-in to ensure everyone is clocked in and clocked out in accordance with AFS and venue policy. It is important for staffing over 30 people. The check-in setup is open 90 minutes before the Main call and lasts until the last few staff have checked out.
  • Tracks No-Call-No-Shows. Gives warnings prior to termination for unexcused absences.
  • Creates Andy Frain Badges.
  • Assists with sign-in/sign-out table.

Hiring Duties:

  • Oversees hiring processes. Schedules and conducts interviews, drug screening, and background investigations through InfoMart (Commercial) or Redtail (S&E). Follows up with applicants to discuss the results from background screening and schedules further training if requirements are met.
  • Hires applicants in Prism-Equation. Gives employees an overview of 'onboarding' and ensures it is completed. Approves Federal I-9 and Fit for Duty. Sets up an ADP Paycard for each new employee, as necessary.
  • Keep folders compliant for each employee: DPS Security, Training, and Medical files. Update system as needed with changes in contact information and DPS audit info (picture, place of birth).
  • Complete terminations in Prism as necessary. Routine roster clean up of 90 day activity.

Training Duties:

  • Oversight of scheduling necessary training for all new hires.
  • Oversight of scheduling necessary ongoing training for current staff.

Recruiting Duties:

  • Oversees recruiting for all assigned accounts.
  • Writes annual recruiting plans and adjusts them as needed
  • Ensures all accounts keep a roster of optimal number of staff.
  • Does not allow any account rosters to fall below optimal number of staff.
  • Schedules Job Fairs
  • Updates Job Postings on Prism, Job Boards and Social Media.
  • Contacts and visits with local universities for job fairs and career services job advertisements.

Other Duties:

  • Orders office supplies for office
  • Office hour walk-ins and phone-call; payroll questions, licensing, interviews.
  • Helps plan an annual charity/community service project for the branch (i.e. Feed the Homeless event).
  • At the direction of the Operations/Branch Manager, intervenes, when necessary, in resolving personnel problems and guides counseling of Security Supervisors and Officers.
  • Works closely with the Operations/Branch Manager to ensure the efficient, effective and compliant operations of all Accounts within the Operational Area.
  • Responds in a timely manner to all email and verbal communications.
  • Carries out all responsibilities in an honest, ethical and professional manner.
  • Support other departments or offsite locations as assigned by the Approved Manager.

SUPERVISORY DUTIES:


In accordance with applicable Andy Frain Services policies/procedures and Federal/State laws, may perform the following supervisory responsibilities: Interviewing, hiring orienting and training employees; planning, assigning, and directing work; coaching and appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.


Supervises:
Administrative Staff, Training Staff, and Others as assigned

MINIMUM QUALIFICATIONS:


The following are the minimum qualifications which an individual needs in order to successfully perform the duties and responsibilities of this position.

Knowledge:

  • High School Diploma required, Associate degree preferred or equivalent experience.
  • Two years of progressively responsible experience including supervision (or equivalent experience) required; five years preferred.
  • Demonstrated knowledge of security operations, workplace health and safety issues.
  • Evidence of ability to work autonomously using sound judgment reflecting strong customer service orientation.

Skills/Abilities:

  • Strong oral and written communications skills.
  • Computer skills required.
  • Superior planning, organization and leadership/supervisory skills.
  • Strong customer and quality orientation.
  • Prior training experience preferred.
  • Ability to be a hands-on, results oriented employee, handling multiple priorities simultaneously.
  • Ability to facilitate progressive change.
