Description:

The Proposal Design Coordinator will impact our growth by assisting with all related functions in the request for proposal process from kick-off to completion, including, but not limited to RFPs, RFIs, RFQs, sole source awards, and grants. This role will also assist in updating referenceable content including graphics for products and services.

What You'll Do:

1. Leads the kick-off of new procurement opportunities including, but not limited to, review of specifications and proposal team coordination to prepare an appropriate response

2. Monitors and tracks opportunities for updates and amendments; communicates opportunities, updates, and amendments to key internal players in a timely manner

3. Maintains deadlines for RFP process and related administrative functions and creates project schedules and review meetings for team members

4. Supports proposal section coordination, final formatting, assembly, packaging, and shipping of materials

5. Completes all administrative proposal close-out activities including electronic filing, updates to resumes and certifications, contacts in CRM, RFPIO, and proposal status

6. Coordinates and maintains team documentation efforts for responses to solicitations (i.e., RFPs, RFIs, RFQs, proposals) in RFPIO

7. Consolidates content and documentation into a required branded format

8. Completes compliance documentation and forms

9. Commits to ongoing product education to obtain knowledge of the company, product, and industry

10. Collaborates across the ImageTrend community with subject matter experts to prepare technical responses and update content

11. Data entry, clerical duties and projects or additional tasks as assigned

12. Travel to orientation, industry or company events, and other onsite meetings as required, up to 10%
Requirements:
1. Degree in business, Marketing, or a related field or the equivalent combination of education and relevant experience

2. Experience in a professional work environment, preferably in business development, marketing, technical writing, and/or proposal support

3. Knowledge of Adobe Creative Suite, specifically InDesign, Illustrator and Photoshop, and MS Office Suite (Outlook, Word, Excel, PowerPoint) with the ability to grasp other software applications including proposal and customer relationship management software

4. High attention to detail and strong written communication skills

5. Strong interpersonal skills with an ability to work both independently and collaboratively within a team setting

6. Strong task and time management skills, highly organized, and ability to prioritize multiple projects simultaneously to meet deadlines

7. Ability to maintain discretion when handling proprietary and confidential information

8. Enthusiasm for learning and expanding knowledge or skills

9. Experience or familiarity with proposal and customer relationship management software a plus

10. Strong work ethic, integrity, honesty, collaboration and team orientation

11. Ability to work in-office on a hybrid basis as required

12. Ability to travel as required, up to 10%
