Overall Job Responsibilities

Under the guidance of Sponsored Programs Office and in collaborations with the Department of Medicine's research leadership, this candidate will coordinate and oversee the day to day extremal grants portfolio in support of the basic, translational and clinical research faculty within DOM and serves as the point-of-contact and resource for all research grant activities for pre- and post-award administration.

Pre-Award:

  • Responsible for coordination of all pre-award activities including submission of research grant applications and sub-contract processing. Including submissions to NIH (research, training, program, career development, etc.) DOD, and Foundations.
  • Assists investigators and trainees/fellows with the preparation of budgets and other regulatory items for grant submission including those that require sub-awards as part of multi institutional collaborations.
  • Oversees accurate completion and timely routing of internal paperwork and disclosures to Sponsored Programs Office and ensures timely submission of federal, foundation, and industry-sponsored grant applications and contracts.
  • In collaboration with the Innovation or Contracts office, assists principal investigators and trainees with the preparation of agreements including confidentiality agreements; clinical trials agreements and material transfer agreements
  • Provides guidance on budget and financial policies to ensure adherence to institutional policies and standards and assist with the organization and preparation of all components of grant applications.
  • Ensures compliance with institutional policies regarding systems access and training required for access for animal (IACUC) or human subjects research (IRB).

Post Award

  • Responsible for coordination of all post-award activities in collaboration with centralized Post Award Administration and Research Accounting and assures compliance with institutional and federal policies.
  • Provides on-going financial oversight of grants and contracts including but not limited to: tracking of funds, sub-awards, evaluating expenditures, forecasting, preparation and submission of progress and final reports.
  • Manages effort tracking to ensure compliance with time and effort policies.
  • Coordinates and maintains tracking of all DOM's NIH (R, T, P, & K awards) DOD and Foundations.
  • Manages purchasing, payments of services and reimbursements of grant expenses.
  • Monitors expenses for correct allocation to funds and reconciles payments with partner institutions and rectifies any errors.
  • Assists with the preparation of standard and ad-hoc financial reports as needed and provides analysis and reasons for variance as needed.
  • Additional responsibilities as assigned as assigned by AVP, Research or Chair DOM.

Qualifications

Education

  • Bachelor's Degree in related field; Master's preferred

Experience

  • Experience in finance and grants management, including pre- and post-award management, financial analysis, budgeting and experience with NIH, DOD, Foundation and industry sponsors.
  • Approximately 2-4 years of experience with non-profit financial activity in an academic medical setting.
  • Full knowledge of federal and non-federal research regulations and policies.

Knowledge, Skills and Abilities

  • Effective oral and written communication skills.
  • Demonstrated organizational skills and ability to pay close attention to detail.
  • Ability to manage multiple large-scale projects and meet deadlines.
  • Demonstrated proficiency with MS Office Suite and database applications.
