Position OverviewUnder the overall direction of the Event Manager of Booking & Events, the Event Coordinator is a part-time employee that assists the Event Managers in creating exceptional experiences for guests at SAP Center and Tech CU Arena - both ticketed and non-ticketed guests (visiting teams, tour personnel, etc.) - for hockey games, concerts, family shows, and other booked events.
Essential Duties and Responsibilities:Sharks Games
  • Anticipate a 6-hour shift beginning 3-hours prior to puck- drop through apx. 45-min post-game.
  • Assist with setting and/or verifying required set-up
  • tasks are complete and properly set, as well as assist in identifying and remedying any non- compliance with ADA or Life Safety Code.
  • Drive on-ice officials from locker room to ice and back at the beginning and end of each period.
  • Assist NHL game night locker room attendants with securing visiting team food when ordered and coordinate hand-off to locker room attendants.
Concerts, Family Shows, & Other Booked Events
  • Anticipate a 10- to 12-hour shift, either morning or evening, with morning shifts running from approximately 6:00am - 4:30pm and evening shifts from 4:00pm - 2:00am.
  • Morning Shifts - Primarily load-in shifts.
    • Put up show graphic signage near dressing room hallway welcoming the tour to San Jose.
    • Coordinate dressing room assignments and set-ups with Tour Hospitality Coordinator and take the lead setting each dressing room to include tables, chairs, couches, pipe & drape, and more as a representative of the Building/Event Managers.
    • Coordinate with tour VIP party and provide appropriate resources/equipment for set-up as identified by Event Manager.
    • Assist department's Administrative Assistant with securing show/artists gifts and putting labels/finishing elements on gifts to be handed out during the evening.
    • Respond to radio calls from Event Managers to assist with any day of show specific needs.
  • Evening Shifts - Primarily show & load-out shifts.
    • Provide assistance with setting and/or verifying required set-up tasks are complete and properly set, as well as assist in identifying and remedying any non-compliance with ADA or Life Safety Code.
    • Coordinate with tour VIP party to ensure space is set and ready for doors to open, often earlier than general show doors open.
    • Assist department's Administrative Assistant with securing show/artists gifts and putting labels/finishing elements on gifts to be handed out during the evening.
    • Respond to radio calls from Event Managers to assist with any day of show specific needs.
    • Assisting with barricade breakdown at the end of the show to prepare for load-out and during load-out breakdown dressing rooms set-ups as the rooms become available and re-set for the next show/event.
    • Establish and maintain rapport within and outside of the organization.

Minimum Qualifications
  • Demonstrate working knowledge with core computer programs used for day-to-day business needs such as Word, Excel, Outlook, etc.
  • Clean DMV record and ability to pass a standard background check.
  • Must be willing to obtain any licenses, certificates or training required by local, state or national authorities for the operation of the equipment found in the facility such as light trucks, pallet jacks, forklifts or other light power-driven equipment.
  • Must Reside in the Bay Area as we are unable to pay for relocation or travel expenses.
  • Must be available to work 20+ hours per week including days, evenings, weekends, and events as needed depending on event schedule.
  • Must have the availability to work two-thirds (2/3) of shifts, which includes both set-up and load-out shifts.
  • Interpersonal communication includes high-level problem-solving and quick turnaround decision- making in demanding situations with a positive attitude.
  • Ability to be flexible, to coordinate and juggle numerous priorities and projects and meet deadlines without sacrificing quality.
  • Strong project management skills and ability to multi-
  • It is imperative that you can work independently without supervision, be self-directed and demonstrate initiative.
  • Exhibit good judgment and decision-making skills, as well as the ability to manage your own

Physical Requirements
  • Ability to sit, stand, walk, stoop, and crouch for extended periods of time
  • Communicate via phone and email with a variety of individuals
  • Ability to bend at the waist, reach overhead and lift up to 25 lbs with or without accommodation
  • Ability to utilize a computer for extended periods of time
  • Physically navigate stairs and catwalks at SSE facilities during normal work hours and events with or without accommodation
  • Ability to go up and down stairs multiple times in a shift.
  • Ability to stand for long periods of time inside and outside.
  • Ability to work occasional extended hours including nights, weekends, holidays (all with advance notice)
