Position Summary

The Production Coordinator and Assistant is a resourceful go-getter, with creative thinking and problem-solving skills, who, in partnership with our Senior Motion Producer supports all aspects of photo and video production. You will assist the Senior Motion Producer with pre-production, onsite production and post-production deliverables. You're passionate and committed to succeed, can multitask and problem solve on the spot, skilled in time management and have great communication skills. The Production Assistant supports all production needs including, but not limited to, creating call sheets, moving and setting up equipment, sourcing props and set elements, submitting invoices for payment, setting up craft service and guiding crew and talent to necessary locations. The ability to manage multiple working and communication styles is key.

Strong organization and encouraging communication skills are required, as well as the ability to problem-solve with creative solutions when problems arise, self-motivated, patient and maintain a professional demeanor.

Assists Life Time Creative and Life Time Motion in achieving operational excellence by contributing information and recommendations to strategic plans and reviews; implementing production, productivity, quality, and customer-service standards and resolving problems.

Job Duties/Responsibilities

  • Support Sr. Motion Producer and partnering with Creative Project Managers, Motion and internal partners to gain alignment on projects
  • Work with Sr. Motion producer to schedule appropriate resources within Workfront and the Motion calendars
  • Provide project scope and manage changing schedules aligned for initiatives across platforms and manage studio shoot schedule and calendar
  • Perform administrative paperwork, creating production documentation (i.e., call sheets, production books) in partnership with Sr. Motion Producer,
  • Facilitate production-related team meetings and set expectations with internal and external teams to prioritize projects
  • Communicate with vendors for talent, crew (hair & makeup, wardrobe, grip, gaffer, digital technician, audio, etc.), location (when applicable), props and order and setup craft services
  • Run errands to get props, set design, food, etc. for production, as assigned
  • Conduct crowd control to ensure closed set, guiding pedestrians away from set
  • Escort crew and talent to their destinations
  • Establish strong relationships with creative, business, channel and internal teams to work most effectively and efficiently

Minimum Required Qualifications

Education:

  • Four-year college degree in related field

Years of Experience:

  • A minimum of 0 –2 years' experience in project management, preferably at an agency Experience effectively working with external clients and internal client teams preferred

  • Experience on digital and traditional campaigns
  • Ability to operate a personal computer
