The Bookkeeper reports to the CFO and is responsible for executing the day-to-day tasks of operating the Business Office, providing clerical support and assistance to the Controller and Chief Financial Officer. In the absence of the Controller, the Bookkeeper assists the Chief Financial Officer in the operation of the Business Office.

Essential Duties and Responsibilities/Functions

Perform Student Billing FunctionsEnter billing of student fees into billing system and post payments as received from studentsDisburse Financial Aid upon receipt of roster from Financial Aid processor and maintain reconciliation recordsPerform monthly reconciliations for grants and scholarshipsProvide assistance to students to access on-line billing activityParticipate in student admission eventsPerform Bookkeeping FunctionsFile invoices and supporting documents in preparation for payment. After checks are printed, match check to supporting documents, obtain appropriate signatures, scan, mail, and file in vendor fileReview vendor statements and follow-up with vendor for any invoices that have not been receivedDisburse petty cash and maintain control of petty cash fundEnter all cash receipts transactions in General LedgerAssist the Controller with the monthly bank reconciliationAssist the Controller with periodic account reconciliations and researchMaintain spreadsheet of monthly annuity requirements and prepare disbursements to annuitantsTrack, prepare, and file information for annual 1099 and 1098T tax reportingAssist with annual audit requirementsAssist/prepare annual reconciliation of fixed asset additions, disposals and transfers including updating the AssetMaxx tracking system and preparing and posting entries to the General Ledger Administrative ResponsibilitiesMonitor compliance with school financial policies and proceduresAssist in maintaining the security of financial documents and the school safePrepare tax exemption certificates and credit applications as requestedOrder office supplies for faculty and staff as requestedMaintain Motor Vehicle Report (MVR) files for studentsRun Motor Vehicle Reports for Staff and CoachesIn the absence of the Controller, assist the Chief Financial Officer in locating records, issuing checks and carrying on the other essential operations of the Business OfficePerform such other related duties as may from time to time be assigned by the Controller, Chief Financial Officer, Provost, or PresidentQualifications (Skills and Abilities Required)Associate's degree or comparable experienceMinimum 3-5 years' experience in billing, bookkeeping, or accounting rolesKnowledge of bookkeeping principlesExperience working directly with multi levels of staff and outside shareholdersExperience in grant and scholarship processing and accountingSelf-directed with strong organizational skillsStrong interpersonal and communication skillsProfessional demeanor working with students, staff, vendors, and outside agencies.Process-driven Proficiency in billing and financial systemsStrong numerical and Financial analysis skillsAbility to prioritize and handle multiple tasksPositive outlook and difference makerWorking ConditionsTravel requirements could include short trips to nearby banks or post officePhysical RequirementsNo exceptional physical requirementsSupervisory ResponsibilityNo supervisory responsibilityOther Duties
