Description: Job Summary

The mission of the Harvard T.H. Chan School of Public Health is to advance the public's health through learning, discovery and communication. To pursue the mission, the school produces knowledge through research then translates this knowledge into evidence that can be communicated to the public, policymakers, and practitioners to advance the health of populations.

The Office of Sponsored Programs Administration (SPA) supports the school's mission by serving as a central resource for the research community through the provision of expertise and leadership in obtaining and managing research funds. It acts as the institutional representative of the President and Fellows of Harvard College for the administration of sponsored projects for the school. SPA is comprised of research administrators that work in partnership with faculty to review and submit proposals for funding and to ensure that proposals and then awards conform and are managed according to sponsor guidelines and University policies.

The Financial Associate will support innovative research in the Department of Immunology and Infectious Diseases (IID) at the world's leading public health research institution. IID focuses on the biological, immunological, epidemiological and ecological aspects of viral, bacterial and protozoan diseases of animals and humans, including the vectors that transmit infectious agents. Research in the department's 14 laboratories is primarily focused on diseases of developing countries.

Position Description

Duties and responsibilities include, but are not limited to, the following:
  • Support department's pre-award activities by independently preparing financial and administrative application materials for basic research grant proposals and progress reports, as well as assisting with some complex varieties.
  • Support department finance activities including processing accounts receivable and payable transactions, PCard/Corporate Card reconciling, credit memos
  • Coordinate with Harvard Accounts Payable central office, external vendors, and research lab members to resolve basic financial and invoicing issues. Escalate and assist with more complex issues
  • Prepare monthly journal entries for assigned accounts
  • Review corporate card payments and employee reimbursements with an emphasis on supporting documentation and travel compliance
  • Work with the Financial Analyst to oversee the financial activity of the Biological Safety Lab service center including billing and receivables management for internal and external customers
Perform other duties as assigned.

Basic Qualifications
  • 4+ years of related experience required; a combination of education and experience may be considered


Additional Qualifications and Skills

The following job-specific skills and competencies are preferred:
  • Bachelor's Degree in related field a plus
  • Experience with Excel, and working with word processing, spreadsheets, and databases
  • High level of initiative and motivation
  • Proactive, friendly, and confident in dealing with faculty and staff
  • Strong communication skills
  • Experience working well independently, with minimal supervision, and using judgement regarding confidential or sensitive information
  • Personal interest in supporting the high level intellectual work of academic professionals, and appreciation of the importance of the role of basic science in improving the lives of individuals and populations
The following cultural competencies are also preferred:
  • Awareness of and aptitude to appropriately and effectively understand, respect, and adapt to cultural and identity-based difference within group environments
