The Internal Communications Specialist is responsible for optimizing, maintaining, and growing the staff intranet portal to communicate with staff, both strategically disseminating information and creating a two-way dialogue that furthers our science and our workplace culture. The Internal Communications Specialist will monitor the use of digital engagement platforms to identify growth opportunities, increase user adoption, and ensure up-to-date information is readily available.

Intranet Editor Management (30%)

● Create and maintain video and written training resources on the Editors Group team space to create better efficiency for editors across the organization and help them keep their content updated.

● Engage editors through the Editors Group team space, including responding to forum questions; posting regular blogs detailing updates to the site and functionality, tips on how to achieve different goals, and more; and gathering feedback on needed improvements.

● Maintain a list of trained editors to ensure communications are being received by the proper SMEs across the organization and ensure that the list of trained editors aligns with the list of staff members responsible for updating content.

● Create and maintain process documents for training, granting permissions, updating resources, etc.

● Organize and host open office hours for editors who have questions or need to

troubleshoot specific issues.

Intranet Content Creation and Maintenance (30%):

● Working closely with the Communications Specialist and subject matter experts, create landing pages for special staff initiatives.

● Monitor metadata issues (keywords, page titles, descriptions, images) and make regular updates to optimize search based on best practices.

● Respond to user emails to troubleshoot issues with access and out-of-date information and improve the user experience.

● Run a quarterly content audit to determine which sections of the site are out of date or in need of metadata updates and liaise with editors across the organization to ensure updates are made.

● Create and maintain a detailed log to aid in page management, including page owners, upcoming expiration dates, most recent updates, metadata, and more.

Intranet User Engagement & Growth (30%):

● Monitor page and site visit data and search analytics to identify opportunities for growth and user experience improvement.

● In collaboration with the Web Engineer and Communications Specialist, stay informed of upcoming intranet platform enhancements, and craft and execute plans to socialize and roll out updates and training to all audiences.

● Working closely with the Communications Specialist, implementing engagement campaigns to increase staff adoption of the intranet and encourage involvement in a two-way dialogue, including the implementation of rewards, badges, blogs, and more.

Intranet News & Events Management (10%):

● Manage and publish Staff Notes Daily email, compiling recent updates to the site and need-to-know information to be delivered to all staff every weekday morning.

● Maintain and update training materials for staff who are creating staff and community calendar events and announcements

Skills

● Knowledge and skill in the use of a web content management system.

● Knowledge and skill in the management of an intranet, particularly Interact products.

● Skill in the use of Google Apps, Microsoft Office applications (PowerPoint and Word), Adobe products (especially Creative Cloud Express).

● Advanced writing ability for a range of audiences.

● Experience in internal communications including editing, use of digital platforms, and staff engagement.

● Enthusiasm for science and a basic understanding of the research process.

● Excellent project management skills including managing multiple and competing priorities.

● Outstanding interpersonal skills with the ability to build strong and trusted relationships and inspire confidence from internal stakeholders.

● Ability to communicate with a diverse range of employees.

● Ability to identify and work with new and emerging communications technologies.

● Ability to work on call and outside of normal business hours during an emergency or crisis.

● Working knowledge of HTML and CSS [helpful but not required]
