TrellisWare Technologies is currently seeking a temporary onsite People and Culture Administrative Assistant. The People & Culture Administrative Assistant will provide support to TrellisWare and the People and Culture team. This position is intended to support the overall effectiveness and efficiency of the organization. Enhancing cohesiveness and maintaining team morale is a responsibility of all our team members, as is the ambition for self-improvement and talent development. Through this dedication to unity and professional advancement, each team member is directly impacting the successful outcome of TrellisWare's deliverables and setting the tone for our core values of delivering excellence, pushing boundaries, and empowering people.


The essential duties and responsibilities include:

  • Responsible for the overall administration of the front desk. Performing general office and administrative duties.
  • Provides general administrative support using Microsoft Outlook, Word, and Excel.
  • Performs general administration for the People & Culture team.
  • Creates engaging and informative all company newsletters in collaboration with internal stakeholders using Canva.
  • Works with the People & Culture team to generate social media posts for employee engagement events.
  • Maintains posting and updating open positions to Cal Jobs biweekly.
  • Supports the planning and execution of company recognition, pop-up, and celebration events.
  • Orders company swag (maintaining budget, receiving approvals, establishing schedule, and ensuring all swag products are received by scheduled dates).
  • Coordinates administrative philanthropy efforts throughout the year for employees.
  • Maintains company's online employee swag store purchases and inventory.
  • Supports planning initiatives for the company's annual holiday party.
  • Answers all incoming office calls and transfers them to the appropriate extension and/or sending the information to the proper points of contact.
  • Greets and checks in visitors, directing them to the proper person and/or location.
  • Performs daily mail distribution.
  • Assists with various new hire onboarding processes to enhance employee experience.
  • Administers background checks (new hire and driver checks).
  • Completes I-9 forms and E-Verify for new employees.
  • Completes expense report reconciliation for the Facilities and People and Culture teams.
  • Places company meal orders and delivers food to the identified conference rooms.
  • Acts as the primary back-up for the People & Culture Recruiting Coordinator.
  • Performs responsibilities for the interview evaluation process.
  • Supports the Facilities team by placing orders for breakroom and copy room supplies each week.
  • Maintains breakroom and copy room supply stocking and organization process as needed.
  • Owning and maintaining employee personnel folders.
  • Scans, files, prepares, and maintains employee files and documents, while ensuring accuracy and confidentiality.
  • Independently prepares various communications.
  • Performs additional tasks and duties as needed.
  • Develops relationships with team members built on trust and respect.

Education and work experience requirements are:

  • Bachelor's degree in Business, Communications, Psychology or related major. GPA above 3.0 strongly preferred.
  • 0-2 years of experience in an office setting or human resource's role.
  • Experience learning software systems. Experience with HRIS a plus.
  • Desire to learn and grow in Human Resources.

Additional requirements are:

  • U.S. Citizenship or Permanent Residency Required.
  • Onsite Monday through Friday 8:00 a.m. to 5:00 p.m. with one hour lunch break.

TrellisWare Technologies pays competitively according to the market in an individual's geographic location, in addition to their qualifications and experience. The posted range is for individuals located in the San Diego, CA area. The pay range for this position is: $20-23/hour.
