The Event Coordinator helps to produce the logistics and program for events. This role manages all aspects of conference-related materials and works closely with the Marketing, Sales, and Operations.

This position is remote, but occasional travel may be required.

Type of Job: FTE

Salary: $33-40k annually.

Responsibilities include, but are not limited to, the following:

  • Establish and maintain relationships with key professionals, industry leaders, senior executives, and media within relevant vertical markets - Networking skills.
  • Assist customers professionally, service-oriented during the execution of daily work and onsite at conferences, leadership, communication, and public skills.
  • Manage the coordination of internal Travel, Transportation, and Shipping arrangements.
  • Manage the coordination of VIP Speaker Travel
  • Event management, planning and logistics in all stages.
  • Liaise with speakers and sponsors to collect accurate and relevant information related to the website, conference brochures, and mobile app (logos, firm descriptions, biographies, headshots, presentations, and advertisements where applicable)
  • Coordinate conference mailings, including notifications for hotel bookings, activity registrations, mobile app, printing materials deadlines, etc.
  • Direct communication with the accounting department to review the event's status in terms of financial results, collections, opex, expenses, other revenue, reservations, etc.
  • Complaint management from event participants.
  • Create and edit conference mobile app, including sponsor ads, speaker biographies, and speaker presentations.
  • Manage registrations through databases..
  • Facilitate organizing and coordinating panel discussions (for speakers) before the event.

Requirements include:

  • Bachelor's Degree.
  • Experience doing research and procurement.
  • Ability to work under pressure.
  • Strong interest in event planning.
  • Strong analytical and critical thinking skills.
  • Excellent ability to multi-task, prepared to work on at least 5 events at varying stages.
  • Excellent interpersonal skills, with the ability to communicate professionally with and relate to all levels both within and outside the organization.
  • Engaging, professional, and diplomatic demeanor - Customer service focus.
  • Self-motivated and able to work both independently and as part of a team..
  • Strong attention to detail.
  • Experience with Salesforce is a plus.
