JOB PURPOSETo provide administrative assistance to the Vice President of Wholesale and Vice President of Merchandising and properly support the administrative functions of the Department.

RESPONSIBILITIESManage daily workflow of Vice President of Wholesale and Vice President of Merchandising, including scheduling appointments, maintaining calendars, telephone, Department and group meetings, expense reports, files, travel plans, meeting materialsProvide administrative support to department such as coordinate meetings and agendas; assist with presentations and meeting materials.

Answer phone calls and direct calls to appropriate parties or take messages.
Ensure Vice President of Wholesale and Vice President of Merchandising are prepared with necessary materials for meetings. Read and analyse incoming memos, letters, and reports to determine their significance and plan their distribution.
Open, sort, and distribute incoming correspondence, including faxes, email and postal mail.
Coordinate setup of new employees.
Complete expense reports and check expenses prior to being sent for approval.
Make travel arrangements for Vice President of Wholesale and Vice President of Merchandising.
Greet visitors and determine whether they should be given access to specific individuals.
Maintain department's organization charts, phone lists, and weekly movement.

Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.

Regularly handle critical and highly sensitive and confidential matters. Act as liaison to executive's direct reports and his staff.

Other responsibilities including special projects as required to increase the professional effectiveness and efficiency of the Vice President of Wholesale and Vice President of Merchandising.

CONNECTING WITH OTHERSWork effectively as a member of a cross- functional department team by focusing on team objectives and communicating clearlyBuild and maintain strong working relationships with all other functional departments such as Retail, Supply Chain, Marketing, etcPERSONAL PROFILEQUALIFICATIONSHigh level of proficiency of Microsoft Outlook, Word, Excel, PowerPoint Highly organized and detail-orientedStrong communication skills, both written and verbalStrong interpersonal skills and the ability to establish and build partnerships with all levels of management and business partnersExceptional time management and prioritization skillsCreative, assertive and solution- oriented when faced with difficult challenging directivesHigh level of professionalism and ability to maintain highest level of confidentialityStrong problem solving and follow up skills; must be proactive and take initiative to support executive.

Ability to be very flexible in reprioritizing near-term accountabilitiesBachelor's Degree, preferred EXPERIENCEMinimum of three to five years administrative experience supporting high-level executive.

  • Expected base salary for the role will generally be between $85,000.00 and $85,000.00 per year at the commencement of employment. However, base salary if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, discretionary bonuses, short and long-term incentive packages, and Company-sponsored benefit programs.
