What You'll Do:

As an Intellectual Property legal assistant at BrownWinick Law Firm, you'll be an essential part of our success story.


You will play a crucial role in supporting attorneys and paralegals by providing administrative support to manage the complexities of intellectual property matters. In this role, you will contribute to the effective management and protection of clients' intellectual property assets, ensuring their innovations and creative works are safeguarded and legally protected.


Key responsibilities:

  • DocuSign Requests: Send DocuSign requests for signatures on IP documents.
  • New Matter Setup: Collect initial client information, create new matter files in case management software, and ensure accurate record-keeping.
  • Engagement Letters: Prepare and ensure compliance of engagement letters detailing service scope, fees, and terms.
  • Matter Transfers: Assist in transferring IP matters from other firms.
  • Correspondence: Draft and send patent and trademark correspondence, including updates, notices, and cease and desist letters.
  • Deadline Management: Monitor and follow up on IP filing deadlines, renewals, and other key events, as well as ensuring timely follow-up with clients.
  • Data Collection: Collect relevant data from the firm’s docketing system, including deadlines, filings, renewals, and other key dates related to clients' IP matters for quarterly spreadsheet reports.
  • Record Management: Maintain and organize records in docketing software and spreadsheets, ensuring easy access to IP documentation.
  • Document Filing: Prepare patent and trademark applications for filing, including drafting, organizing, and reviewing necessary documents. Assist with the preparation and filing of applications and prosecution documents, including responses to office actions, amendments, and appeals.
  • Information Disclosure Statements: Responsible for preparing, filing, and managing Information Disclosure Statements for patent applications.
  • Issued Patents: Ensure that all issued patents are accurately reviewed for completeness, properly documented, and promptly mailed to the respective clients
  • Meeting Documentation: Prepare docket meeting notes, and capture comprehensive and precise meeting records that support project tracking and decision-making processes


In addition to these responsibilities, you will be cross trained to assist with the following tasks when needed:

  • Report Distribution: Distribute weekly printed docket reports to staff and attorneys.
  • Invoice Processing: Review and process invoices from foreign counsel, coordinating with accounting for timely payments.
  • Client Payment Follow-Up: Contact clients with overdue payments, send reminders, and provide necessary documentation.
  • Meeting Coordination: Schedule monthly IP team meetings, order, and coordinate delivery of team lunches.
  • CLE Tracking: Track and manage CLE credits, monitor deadlines, and send reminders to attorneys for compliance.
  • Accounts Receivable: Review aging accounts receivable reports, identify outstanding balances, and follow up with clients.
  • Billing: Tracking billable hours and expenses associated with intellectual property matters, ensuring accurate billing to clients.


Qualifications:

  • Proven ability to manage multiple tasks, prioritize effectively, and consistently meet deadlines without the need for extensive guidance.
  • Strong ability to independently apply past experience, conduct research, and leverage critical thinking to solve problems and support the team and practice area.
  • Excellent organizational skills and a keen eye for detail, ensuring high-quality results without constant oversight.
  • Demonstrated ability to quickly develop strategies for overcoming challenges, particularly under tight time constraints, without relying solely on instruction.
  • Outstanding communication skills, both written and verbal, with the capacity to convey ideas clearly and persuasively.
