Ultimate Staffing is hiring for a Construction Company with a great company culture and they are looking to hire an Office Manager. The position is located in Hayward, CA and is a direct hire position with a pay range of $30 to $40/hr depending on experience.

We are seeking a highly organized and efficient Office Manager to join our team. As an Office Manager, you will play a crucial role in ensuring the smooth operation of our office. The ideal candidate will have experience of managing offices, handling day-to-day accounting tasks, human resources knowledge and using various software tools. This position requires excellent communication skills and the ability to report effectively to management.

Key Responsibilities

  • Office Management:
    • Oversee daily operations.
    • Ensure the office is well-maintained and fully equipped.
    • Coordinate and manage office services, including cleaning, maintenance, and security.
    • Implement and maintain office policies and procedures.
  • Accounting:
    • Handle day-to-day accounting tasks, including accounts payable and receivable, payroll, and bank reconciliations.
    • Prepare and manage budgets, financial reports, and forecasts.
    • Ensure compliance with financial regulations and company policies.
  • Administrative Support:
    • Provide administrative support to senior management and staff.
    • Prepare reports, presentations, and correspondence.
  • Software and Technology:
    • Utilize office software and technology tools for efficient office management.
    • Ensure all office technology is functioning properly and liaise with IT support as needed.
    • Implement new software and technologies to improve office efficiency.
  • Communication and Reporting:
    • Act as a liaison between office staff and senior management.
    • Prepare and present regular reports on office operations and performance.
    • Ensure clear and effective communication across all office locations.
  • Human Resources:
    • Assist in recruitment, onboarding, and training of new employees.
    • Maintain employee records and manage office-related HR tasks.
    • Foster a positive office culture and work environment.
  • Project Management:
    • Manage special projects and initiatives as assigned by management.
    • Coordinate with different departments to ensure project deadlines are met.
  • Supply Management:
    • Monitor and manage office supplies inventory.
    • Place orders for supplies and ensure timely delivery.

Qualifications

  • Education:
    • Bachelor's degree in business administration, Management, Accounting, or a related field.
  • Experience:
    • Proven experience as an Office Manager in a consulting or engineering firm, managing multiple office locations.
    • Experience in handling day-to-day accounting tasks.
    • Proficiency in office management software and accounting software.
  • Skills:
    • Excellent organizational and multitasking abilities.
    • Strong communication and interpersonal skills.
    • Detail-oriented with a high level of accuracy in work.
    • Ability to work independently and as part of a team.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.

  • Work Environment:
    • This position may require occasional travel to different office locations.
