Job Description:

Boutique law firm in Coral Gables, Florida is searching for a Law Firm Administrator to join our collaborative team. In this role, the administrator will manage the firm’s books and records, supervise staff, and administer the office's day-to-day operations. The ideal candidate has some experience with legal billing, is organized and an effective communicator. This is an in-office, full-time position.


Duties and Responsibilities:

Bookkeeping:

  • Record and maintain daily financial transactions, including debits and credits
  • Create, organize, and manage financial records, such as cash flow statements and reconciliation statements
  • Prepare reports for managing attorneys and trial balances for accounting purposes
  • Manage legal billing and generate invoices
  • Prepare and manage firm's budget, handle accounts payable and receivable, and track expenses


Human resources:

  • Supervise non-attorney staff of three, including assistants and paralegals
  • Assist with firm hiring, onboarding, and terminations
  • Manage employee benefits
  • Manage and execute payroll


Office management:

  • Ensure efficient office operations
  • Handle vendor contracts, services, and payment
  • Liaise with building management
  • Work with administrative assistant on stocking office supplies and equipment
  • Implement office policies and procedures


Required Qualifications:

  • 2+ years of experience with legal billing
  • Organized, detail-oriented, punctual, and professional
  • Proficient in Microsoft Office programs, including Word and Outlook
  • Proficient in Quickbooks
  • Proficient in Adobe
  • Excellent written and oral communication skills
  • Law firm administration or office management experience a plus, but not required
  • Familiarity with Ascent, Tymetrix, and/or PracticePanther a plus, but not required
  • Spanish speaker a plus, but not required
