Executive Administrative Assistant


Assistant will provide executive-level support to the Chief Operating Officer, Director of Administration, Director of Business Development and other senior-level management team members. This individual will play a pivotal role in streamlining initiatives while providing excellent executive support. This role requires an in-office presence 5 days a week.


Successful candidates will be highly focused with strong attention to detail and excellent organizational skills; handle confidential information discreetly; have excellent technical and interpersonal skills with a “can do” approach; have sound judgment; and ability to prioritize workload; balance several projects simultaneously; be flexible; possess solid written and oral communication skills; ability to function with a high level of patience, tact and diplomacy in handling situations.


Requirements include a demonstrated proficiency with MS Word, Excel, PowerPoint, Outlook, Adobe Acrobat Pro and PDF Docs. Prior document management experience is helpful but not required.


Responsibilities include:

• Assist the Management Team as their point of contact among executives, clients and firm

personnel; manage schedules and organize logistics for internal and external meetings;

proactively identify, assist with and monitor project-related and event-related deadlines.

• Assist the Director of Administration with daily workflow requests to ensure attorneys’ work

requests are addressed promptly; enter timesheets; process expense reimbursements;

coordinate assistance with Word Processing Department and Office Services as needed.

• Assist the Director of Business Development with updating and maintaining the firm’s contact

database (CRM).

• Coordinate travel arrangements, including air, hotel, ground transportation and lunch/dinner

reservations as needed.

• Assist with attorney/new employee onboarding efforts, including welcome packets, training

schedules, introductory meetings, mentors, etc.

• Assist with new business intake, including formal conflict procedures, engagement letters, etc.

• Ability to work well with all levels of Firm personnel and outside vendors (as needed).

• Self-motivated and personable with the ability to work as part of a team and independently

with minimal supervision when necessary.

• Ability to prioritize tasks and shift priorities as needed.

• Performs other related duties and responsibilities as assigned.


Education and Experience:

• Associates degree required, Bachelors degree preferred.

Prior legal experience.
