SUMMARY
This position is responsible for managing the loan documentation scanning function, ensuring all loan related documents are imaged and indexed in a timely and accurate manner. Manages the systems and personnel responsible for tracking and reporting loan documentation exceptions and develops procedures to minimize the number and severity of documentation exceptions. Managing the post review of closed loans and ensures lien position and perfection. Directs the daily activities of personnel, manages the systems used by the department, and develops documented processes and procedures. Oversees the training of new personnel as needed. Establishes, maintains, and manages Quality Assurance programs related to commercial and consumer documents.
PRIMARY DUTIES/RESPONSIBILITIES:

- Directly supervises personnel. Determines work priorities; schedules work assignments; selects, trains and evaluates work performance of subordinates; and assures processing deadlines are consistently met. Organizes and leads routine staff meetings. Fully responsible for interviewing and hiring staff, performance counseling and other personnel actions.
- Acts as liaison with Loan Review personnel, Commercial Relationship Managers and Loan Specialists to determine, address and resolve the number and severity of loan and collateral exceptions.
- Identifies, develops and recommends revision of internal standards, policies, operating procedures, and new programs to improve efficiency. Provides staff with clear and concise written guidelines, minimizing losses through effective internal controls.
- Makes decisions based on what is best for clients, account officers, and the Bank.
- Assures quality customer service to all loan customers; has authority to take calculated risks after evaluation of pros and cons.
- Allocates resources to support new departmental projects, such as conversions, acquisitions, new product development, processing system updates, etc.
- Identifies training needs and coordinates employee development. Provides open communication with staff, ensuring that all employees are informed of upper management decisions. Ensures staff meetings and employee development is a high priority.
- Responsible for thorough knowledge and management of policies/procedures essential to the Bank’s compliance with the following regulations: Reg. B-Equal Credit Opportunity Act; Flood Disaster Protection Act; and Real Estate Settlement Act (RESPA).
- Manages the loan documentation scanning function, ensuring all loan related documents are imaged and indexed in a timely and accurate manner.
- Manages the process for force placing hazard insurance, including sending advance notifications letters to clients and force placing insurance, as necessary.
- Manage the process for paid loans and appropriate release of collateral.
- Responsible for the administration of the Bank’s direct consumer real estate ordering process through the Bank’s vendor. Tasks include setting up new users, setting up new appraisers, being the contact for appraiser questions and ordering out of area appraisal, as the need arises.
QUALIFICATIONS
EXPERIENCE REQUIREMENTS:
- Minimum of 5 years of loan operations experience; appraisal and collateral exception experience preferred
- 2-4 years of supervisory/managerial experience
EDUCATION REQUIREMENTS:
- Bachelor’s degree or equivalent

- Excellent organization, time/project management, execution and delivery skills. Must be able to multi-task with frequent interruptions and be comfortable in a fast-paced, changing environment while managing multiple projects to conclusion on time.
- Ability to interact positively with unsatisfied customers and resolve complex problems.
- Excellent knowledge of state and federal regulatory requirements related to consumer, real estate and commercial loan disclosure and documentation.
- Thorough knowledge of Bank operations and procedures.
- Thorough PC skills with the ability to navigate multiple computer systems, applications, and utilize search tools to find information.
- Exhibits a strong drive toward continuous self-development and learning.
