Position Overview:

The Event Sales Manager will play a crucial role in driving event sales and managing the planning and execution of events at Amarillo Country Club. This individual will be responsible for selling and coordinating events, building strong relationships with Members and guests, and ensuring that all events are executed flawlessly. The ideal candidate is a proactive, detail-oriented professional with a passion for event planning and a commitment to delivering exceptional service.


Key Responsibilities:

·        Banquet Sales

·        Build and maintain relationships with current and prospective Members and clients, providing exceptional service and support.

·        Create and deliver banquet proposals tailored to Member needs.

·        Collaborate with the Communications department to promote events and drive attendance.


Duties: 

·        Conduct site visits with Members.

·        Address any Member concerns or issues promptly and professionally.

·        Serve as the primary point of contact for Members throughout the event planning process.

·        Work closely with Members to understand their vision and ensure their expectations are met or exceeded.

·        Follow up with Members post-event to gather feedback and ensure satisfaction.

·        Have knowledge on all banquet rooms, capacities, setups, etc.

·        Manage event calendar and spaces using Reserve Cloud Software.

·        Stay current on all Club events and ensure they are entered into Reserve Cloud in a timely manner.

·        Assist in the planning and execution of banquets and Club events, ensuring that all details are handled with precision.

·        Create in-house banquet event orders (BEO’s) and update weekly function information for all affected staff.

·        Conduct & attend weekly Food & Beverage meetings.

·        Coordinate with internal teams, including food and beverage, banquet staff, and management, to ensure seamless event delivery.

·        Manage event timelines and logistics, ensuring all events are delivered on time and within budget.

·        Arranges for printing of menus, procuring of decorations, entertainment and other special requests.

·        Maintain accurate records of all event sales, contracts, and communications.

·        Prepare reports on event sales performance.

·        Assist with invoicing and payment collection as needed.


Qualifications:

·        Proven experience in event sales and coordination, preferably in a private club, hospitality, or luxury environment.

·        Knowledge of food and beverage operations.

·        Strong sales with a track record of meeting or exceeding sales targets.

·        Excellent communication and interpersonal skills, with the ability to build strong relationships with Members, colleagues and vendors.

·        Highly organized with strong attention to detail and the ability to manage multiple events simultaneously.

·        Ability to work flexible hours, including evenings, weekends, and holidays as required.

·        Proficient in Microsoft Office and Excel
