POSITION OBJECTIVE

The associate director of trustee engagement provides leadership and direction in the development and implementation experiences designed to advance relationships with trustees in support of the mission, messages, and branding of the university. This position is responsible for developing, maintaining, and deepening relationships with trustees through enhanced engagement opportunities. The associate director is an active member of the donor relations and events and the trustee programs departments that collaborates with campus colleagues to extend the presidential standard of hospitality throughout the university and provide guidance in support of presidential functions including trustee meetings, events, receptions, ceremonies, and dinners. The associate director provides operational leadership to ensure desired outcomes for all events within the assigned portfolio and exercises independent judgment and decisions to implement strategies and tasks necessary to execute successful trustee events. This position provides direction and support for event functions which include campus service management, budget/invoice coordination, meeting management, list management, and daily office operations.


ESSENTIAL FUNCTIONS

  1. Collaborate with the director of trustee programs in planning trustee meetings, providing complete event management services. Plan and execute board of trustees committee meetings which could take place on campus, virtually or at an off-site location. Direct University Marketing and Communications on the maintenance of website, trustee directory, trustee manuals, board portal and database. Prepare and administer the Trustee Programs budget. Oversee the contract process and manage relationships with outside vendors. Support the senior director in collaborating with the Office of General Counsel to oversee board of trustees standards, processes, and guidelines. (35%)
  2. Collaborate with the assistant vice president of donor relations and events, in partnership with various university departments and external clients, to ensure seamless execution of other events to which the trustees participate. Provide day of event support and coordination with schools, the college, and university departments to implement events at which the president plays a role. Other management includes collaborating with university departments and external clients, invitation processing, approvals and response tracking, design, audio visual, catering, tenting, floral, music, incentives, setup/load out, valet, and support staff. (20%)
  3. Develop, lead, and execute event management and services for assigned university functions for which the trustees will participate. Collaborate with the director of trustee programs to implement programs including trustee orientation, the emeriti, and partners programs. (20%)
  4. Serve as principal liaison to leadership visiting committees, councils, and commissions. Plan, organize and execute assigned committee, council, and commission meetings in collaboration with the Office of the President and various university departments, including but not limited to the Interdisciplinary Science and Engineering Building committee. (15%)
  5. Provide thorough briefing materials to department leadership and identified university administration as appropriate, including briefs for trustee meetings with the president and leadership, event briefs, seating charts, VIP itineraries, invitations that reflect and uphold university standards and protocols. (10%)
