Job Title: Administrative Assistant
Responsibilities:
- Maintain organized and accurate records for the property management department.
- Assist with accounts payable and accounts receivable tasks as needed.
- Coordinate and schedule meetings, including sending reminders and arranging necessary accommodations.
- Communicate effectively with internal teams, external clients, and vendors.
- Prepare and organize financial reports, including income statements and balance sheets.
- Enter and manage financial transactions in databases with precision and attention to detail.
- Receive and process vouchers, cash, and checks accurately and efficiently.
- Generate various reports and ensure accuracy in figures and postings.
- Identify and reconcile any discrepancies found in financial records.
- Manage office supplies inventory and place orders as necessary.
- Provide administrative support for other team members as required.
Qualifications:
- Proven experience as an Administrative Assistant, Office Manager, or similar role in the property management industry.
- Proficiency in Microsoft Office Suite (particularly Excel and Outlook).
- Familiarity with property management software is a plus.
- Strong organizational skills and ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving abilities.
- Ability to work efficiently in a fast-paced environment.
- Prior experience with accounts payable/receivable and financial reporting is preferred.
