Employment Type: Contract to Hire

Hours: Monday – Friday, 8:00 AM to 4:30 PM

Pay Range: $24-29/hr


Job Summary: The Administrative Assistant will work under the direction of the Director of Administration, with additional guidance from the District Manager. The successful candidate will collaborate with a team of 7 employees and must bring strong organizational skills, attention to detail, and a willingness to learn and grow in the position.


Key Responsibilities:

  • Manage day-to-day office functions: answering phones, responding to customer inquiries, data entry, and processing customer payments
  • Enter invoices, order supplies, and maintain filing systems (both physical and electronic)
  • Prepare reports and create/maintain spreadsheets
  • Handle customer billing, accounts receivable/payable
  • Prepare service orders such as customer requests, utility locate requests, and meter reads
  • Provide exceptional customer service and demonstrate strong interpersonal skills
  • Proofread documents for grammar, punctuation, and formatting, ensuring consistency
  • Organize and prioritize tasks, meeting deadlines and managing special projects
  • Receipt and process invoices


Minimum Skills and Abilities:

  • Self-starter with strong multitasking abilities and the capacity to handle multiple disruptions
  • Proficiency in Office 365
  • Strong organizational and communication skills (oral, written, and listening)
  • Reliable, punctual, and detail-oriented with a positive attitude
  • Ability to problem-solve and take initiative
  • Reliable transportation required due to office location


Preferred Skills:

  • Background in bookkeeping and/or accounting
  • Experience with Caselle (Government Accounting Software)
