Position Overview:

The purpose of this position is to compile, process, and maintain accounts payable records while supervising the Accounts Payable Department.


Essential Job Functions:

  • Open, date, stamp, and route daily incoming invoices to appropriate parties
  • Receive, review, and reconcile invoices and statements from vendors
  • Match invoices to supporting documentation for approval by appropriate managers to pay
  • Pre-Code invoices charged to a General Ledger account for approval by appropriate managers
  • Process checks to send to vendors
  • Set-up, Maintain and organize vendor files including but not limited to receiving, reviewing and maintaining all W-9’s for existing and new vendors
  • Monitor vendor accounts to ensure payments are all up-to-date
  • Resolve any invoice discrepancies
  • Handle all incoming calls from vendors regarding payments
  • Review and process check requests
  • Assist in month and year-end closing process including but not limited to bank reconciliations, 1099 process, General Ledger and Job Cost reconciliations
  • Establish policies and procedures regarding each function within Accounts Payable including identifying opportunities for increasing efficiency and streamlining processes
  • Manage accounts payable clerks on a daily basis emphasizing the processing of all invoices, debits, credits, freight and sales tax as well as coordinating and scheduling check runs

Other Job Functions:

  • Attend staff meetings or other company sponsored or mandated meetings as required
  • Perform additional duties as assigned
  • Willingness and ability to work 40+ hours as needed


Basic Qualifications:

  • High School Diploma or GED, required
  • 5+ years Accounts Payable experience, 2+ years Accounts Payable Supervisor experience required
  • Intermediate to advanced proficiency with Microsoft Office (Excel, Word, PowerPoint and Outlook), required
  • Proficiency with Viewpoint Construction Software
  • Position requires fluency in English; written and oral communication
  • Ability to mentor and lead employees
  • Working manager mentality


Physical Requirements


Typical functions of this role include standing, sitting and walking a majority of the time. There are occasions when kneeling, stooping, bending or reaching may be necessary.


The employee must be able to lift and/or move up to 10 lbs on a regular basis. There may be occasions in which the employee must be able to lift or move up to 40 lbs.


Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.


The noise level in the work environment is usually mild to moderate.
