Administrative Assistant


Wine Enthusiast Companies, the leading provider of ratings, reviews and product innovations for the wine lifestyle is seeking a part-time office professional to manage our headquarters in Valhalla, NY and key executive affiliations and communications.


Required Skills:

  • Proactive self-starter with a dynamic and outgoing personality, possessing high energy and a drive for excellence.
  • Advanced proficiency in Google Workspace and Gmail, demonstrating adept technical skills.
  • Previous experience beyond entry-level roles preferred; seeks a position to further develop professional expertise.
  • Resides locally and available onsite on Wednesdays and an additional weekday as required.


Responsibilities:

  • Company Town Halls - Be the main point of contact for Company Town Halls. These events are held both virtually and on-site and serve to provide important company-wide information and facilitate social interaction.
  • Weekly Group & Executive Lunches - These gatherings, held on-site, are crucial for fostering interaction among employees and managers and enhancing our unique company culture. Coordinate with Catering for occasional Client lunches.
  • Community Support and Charitable Giving - Manage communications for partnerships formed through the Wine Enthusiast Foundation and handle donation requests for fundraising events in our local community and among our network of friends and family.
  • Professional Organizations - Assist in scheduling meetings, conferences, retreats, and travel for YPO and the Committee of 200 for the Family.
  • Office Supplies - Manage accounts for coffee, water, paper, and postage machines. Handle purchasing of kitchen and office supplies and ensure the Front Desk is well-maintained.
  • Executive Support - Available to create itineraries, conduct internet research, and provide general administrative assistance.

Position offers hybrid onsite work at our Valhalla, NY headquarters, with REQUIRED attendance on Wednesdays and an additional weekday either Tuesday or Thursday.
