Responsibilities:

  • Calendar Management: Coordinate and manage complex schedules for the executive team, including meetings, appointments, and travel arrangements.
  • Communication: Serve as the primary point of contact between executives and internal/external stakeholders, managing emails, phone calls, and correspondence.
  • Meeting Coordination: Organize and prepare for meetings, including drafting agendas, taking minutes, and ensuring follow-up on action items.
  • Travel Arrangements: Book and manage travel logistics, including flights, accommodations, and transportation.
  • Project Support: Assist with special projects and initiatives, providing research, preparation, and follow-up as needed.
  • Expense Management: Handle expense reports related to executive activities.
  • Office Management: Oversee some office operations and ensure a smooth workflow, including managing supplies and coordinating with vendors.
  • Event Planning: Assist in organizing company events, including team-building activities, client meetings, and conferences.


Qualifications:

  • 2-4 years of experience as an Executive Assistant or in a similar role, preferably in a tech or start-up environment.
  • Outstanding time, calendar, and task management skills.
  • Skilled in anticipating the executive team’s needs and providing effective solutions independently.
  • Flexible and responsive to varying needs and requirements of the company and executive team.
  • Proven ability to exhibit leadership qualities and emotional intelligence when working closely with senior executives.
  • A history of embracing innovation and trying new processes or technologies to improve project and task completion.
  • Bachelor's degree preferred not required.
