Responsibilities:

  • Review and process vendor invoices and expense reports accurately and efficiently, ensuring compliance with firm policies.
  • Verify approvals and coding on invoices prior to processing payments.
  • Prepare and perform check runs, wire transfers, and ACH payments.
  • Reconcile vendor statements and resolve discrepancies promptly.
  • Provide timely response to inquiries and maintain good relationships with internal employees, vendors, and clients.
  • Setup new vendors in the financial system in compliance with firm policies and procedures.
  • Assist with month-end closing activities related to accounts payable.
  • Communicate with legal assistants about outstanding invoices pending approval in SurePoint.
  • Maintain accurate records and documentation, following in accordance with firm policies and procedures.
  • Perform other general data entry duties and assist with ad hoc projects as necessary.

Qualifications:

  • Bachelor’s Degree preferred or an equivalent combination of related education and experience.
  • Minimum of two (2) years of Accounts Payable experience, preferably in a law firm or professional services environment.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel), with advanced Excel skills.
  • Strong attention to detail and accuracy in financial transactions and data entry.
  • Excellent communication skills, both verbal and written.
  • Ability to prioritize tasks effectively in a fast-paced environment with changing priorities.
  • Sound judgment, problem-solving abilities, and customer service orientation.
  • Familiarity with financial systems and ability to learn new software quickly.
  • Integrity and professionalism when handling confidential information.
