Job Description: We are seeking a highly organized and proactive Office Manager to join our team. This role is essential to our operations, ensuring the smooth running of daily activities and providing exceptional support to our clients and team.

Key Responsibilities:

Client Management:

  • Serve as the first point of contact for incoming clients.
  • Manage client onboarding, including sending welcome letters, gathering necessary information, and setting up clients in our system.
  • Maintain and organize client files and ensure all documents are uploaded promptly.

Meeting Coordination:

  • Schedule and coordinate meetings with clients and internal team members.
  • Ensure meeting logistics are handled, including preparation of materials and setting up conference rooms.
  • Maintain a well-organized calendar to manage appointments and meetings efficiently.

Database and Billing Management:

  • Enter and manage client information and project details in the database.
  • Prepare and send quotes and invoices to clients.
  • Monitor billing and ensure timely processing of payments.

Office Administration:

  • Assist with onboarding new employees, including paperwork and equipment setup.
  • Ensure employee and client areas are well-stocked with necessary supplies and refreshments.

Special Projects and Events:

  • Coordinate client gifts and special projects as needed.
  • Manage holiday cards and other client communications.

Qualifications:

  • Strong knowledge of QuickBooks Online.
  • Experience with Buildertrend is a plus, but training will be provided.
  • Excellent organizational and time-management skills.
  • Strong communication skills, both written and verbal.
  • Ability to multitask and prioritize tasks effectively.
  • Proactive and able to work independently.
