Description:

We are looking for an Employee Services/HRIS Specialist to support a variety of HR Operations including the employee lifecycle and HRIS functions. In addition to change management, process improvement, New Hire onboarding, HR compliance and Policy ownership, you will be responsible for reviewing our HRIS (Workday) transactions and escalations and responding to tier 1 HR inquiries through our HR inbox. This candidate will assist in reporting, auditing, investigation, and analysis of HRIS data, and play a vital role in executing and reporting on operational metrics, process improvements, issues, and resolutions. Candidate will work closely with Human Resources teams (Recruiting, HR Business Partners, Compensation, Retirement, Benefits, Payroll, Talent Engagement) to ensure HR transactions and changes are up to date.

Responsibilities:

  • Own the onboarding process for all new hires, internal transfers, and interns. Serve as the onboarding “champion” to ensure new employees are set up for the highest level of success. Involves working closely with various members of Human Resources, managers, Workplace Services, IT and others on effective hand-offs and process improvement opportunities. Team with HR Business Partners to coordinate the employee onboarding and termination processes.
  • HR compliance including the I-9 Process, E-Verify. • Immigration. Point of contact for internal team and employees for immigration matters. Work closely with immigration vendor to ensure compliance/maintain systems to track expiration dates and other legal deadlines.
  • Administer and monitor employment-related data to maintain accurate records and produce timely and factual reports for regulatory and compliance reporting.
  • Remain current with the latest HR trends and best practices across all HR processes and functions. Ongoing focus on process improvement review, testing and implementation.
  • Partner closely with the EVP, Chief Human Resources Officer to support all Federal Housing Finance Agency (FHFA), Office of Minority Women Inclusion (OMWI), and Diversity Equity Inclusion (DEI) Workforce reporting. Support the Bank’s diversity initiatives and maintain records for Equal Employment Opportunity (EEO) and affirmative action reporting requirements.
  • Preparation of confidential materials and reports for the Leadership Team and Board of Directors.
  • Oversee HR purchase requests, ensuring accurate and timely payment of invoices. Support the processing of HR budget commodities and partner closely with the CHRO to ensure the budget is accurately represented and forecasted on a monthly basis.
  • Responsible for accurate HR records retention, ensuring all records are stored properly and securely. Moving to digital HR filing in 2025.
  • Maintain Workday workflows, ensuring data accuracy, system integrity, and security. Perform internal and external audits to ensure timely completion and data accuracy.
  • Participate in ongoing Workday initiatives including configuration support of the different Workday SKUs deployed (Core HCM, Advanced Comp, Recruiting, Learning, Benefits, Talent, Payroll, Recruiting etc.). Review, audit, and enhance internal reporting processes ensuring data integrity, consistency, and compliance with industry best-practices.
  • Assist HR function in developing procedures and requirements related to reporting and analytics; assessing how to best leverage data in developing standard reports and usage.
  • Generate and analyze HR reports, metrics, and dashboards to support decision-making and provide insights to HR leadership. Prepare monthly reports for Leadership.
  • Manage employee records, vendor integration data audits, job changes, onboarding and offboarding processes, and compliance with HR policies and regulations. Partner and collaborate with HR teams on process/project execution and overall adoptions. Work closely with Payroll, IT, and other departments to ensure seamless integration of HRIS and HR processes.
  • Support knowledge management strategy, by developing processes, templates/tools, guidelines, quality standards and criteria to ensure the most effective development and maintenance of HR content.
  • Maintain the HR knowledge repository tool (procedures/work instructions, knowledge articles, portal content etc.) and manage requests for new and updated content on the company Portal & HR Knowledge base.
  • Provide support to employees, managers, and HR team regarding HRIS functionality, Workday transactions, policies, and procedures.
  • Troubleshoot and resolve HRIS issues, managing Tier 1 HR inquiries. Create/provide Job Aids upon request.
  • Optimize HR workflows and systems by identifying and implementing improvements to enhance HR operations processes and programs.
  • Drive and champion operational change management activities for special projects, Workday enhancements, and other HR impacting programs.
  • Collaborate with the payroll team to ensure HR transactions are captured prior to payroll deadlines, and partner with HR Business Partners on matters relating to Job Changes, Terminations, Leaves/Returns, etc.

Knowledge/Skills

  • Degree with an emphasis in HR management or business, or equivalent work experience, preferred.
  • Certification in HR or HRIS (CHRP/CHRL/HRIP)
  • 5- 7 years of experience in HR/HRIS administration/compliance for a mid-size company.
  • Prior experience with Workday, report writing, and advanced skills in Microsoft Excel/Google sheets (e.g. VLOOKUP, macros, IF statements, pivot tables, etc.)
  • Full understanding of HR functions and best practices is highly desired.
  • Must be able to effectively communicate with staff at all levels, as well as with outside vendors. interpersonal skills with a high level of diplomacy and confidentiality are essential.
  • Must be a conceptual thinker with excellent organizational and time management skills.
  • Must be able to multitask and adapt in a demanding environment, while maintaining meticulous attention to detail.
  • Creative and analytical problem solver with the ability to work in ambiguity, on high-volume workloads, and on tight deadlines with a high degree of confidentiality.

Must have:

  • Comprehensive Knowledge of Employment Law: Strong understanding of legal standards and regulations governing employment practices.
  • Expertise in HR Ecosystems and Employee Lifecycle: Ability to navigate and manage HR processes across the entire employee lifecycle effectively.
  • Advanced Workday Proficiency: Extensive experience with Workday modules, including HIRS, onboarding/offboarding processes, dashboards, and reporting capabilities.
  • Thorough Understanding of Policy and Procedures: Ability to interpret, implement, and ensure compliance with organizational policies and procedures.
  • Knowledge of Immigration Procedures: Familiarity with immigration-related processes and requirements in the employment context.
  • Detail-Oriented and Independent Thinker: Strong attention to detail with the ability to work independently, solve problems, and make informed decisions.
