About the Opportunity:
Chelsea Piers is seeking to hire an Assistant Gymnastics Manager to join our Gymnastics Department at Field House Chelsea. In this role, you will be responsible for coordinating the logistics of our competitive gymnastics teams and supporting the department with a variety of office operations and administrative work. This role reports to the Director of Gymnastics and works closely with Gymnastics Team Directors, coaches, the registration office, and customers. This position requires you to be in the office every day: Tuesday - Saturday from September to June and Monday - Friday for July and August.
As the Assistant Gymnastics Manager, you will be expected to:
Team Management:
- Create team meet schedules with Team Directors and send schedules to families
- Communicate with host gyms ahead of meets for all planning and logistics (identify travel logistics, confirm registration procedures, etc.)
- Research and book all meet travel needs (flight/car and hotel) and maintain organized spreadsheet of all costs and dates
- Manage successful meet registration process between host gym and Field House Controller
- Maintain proactive, clear, consistent communication with all team families regarding fees, practice schedules, meet schedules, parent Zoom meetings (as requested by Head Coaches)
- Coordinate uniform orders for all team athletes
- Directly address any minor questions or complaints regarding logistics (practice times, meet fees, meet schedule) in a professional and timely manner
- Appropriately manage-up any other complaints to Head Coaches to handle immediately
- Complete team practice schedules for review and approval in timely manner
- Create registration welcome emails for all team families prior to fall season
- Develop and clearly communicate rotations for all rec coaches/classes
- Create annual calendar for professional development training for all team coaches and ensure successful completion of training sessions
- Communicate and post rotations for Gymnastics Program
- Charge all entry fees for Meets or anything else in real time
- Manage Team expenses
Administrative Work:
- Create weekly payroll forms and distribute to hourly employees and enter payroll data
- Monitor candidate pipeline and create and execute standardized onboarding for all new coaches
- Work directly with Controller to determine best process for expense reimbursements and ensure expense reimbursements for Gymnastics coaches are all completed in a timely fashion
- Manage Summer Gymnastics Classes & assist with School Break camps
- This includes staffing, rotations, ratio’s etc..
- Ensure all meet payments are collected from families in full and on-time
- Monitor and respond to all voicemails and emails in a timely fashion
Additional Responsibilities:
- Work as Manager on Duty and dedicate ample time on a weekly basis to being present and overseeing gymnastics area
- Create and maintain annual calendar of social events for all team levels and share calendar in advance of fall season with all team families
- Maintain positive and informative channel of communication with team families via TeamSnap and ensure all participants are up to date with active families
- Monitor all Team Snap activity for gymnastics
- Create content and post to Gymnastics Team social media
About You:
You are professional, dependable, energetic, and are passionate about gymnastics and working with children and families. You are detail-oriented and have excellent communication and customer service skills and can work collaboratively with management, coaches, and parents. You also have:
- Strong organization skills and time management skills with the ability to handle multiple projects and deadlines simultaneously
- Ability to work autonomously with minimal supervision
- Ability to anticipate issues and take initiative to problem solve
- Up to date USA Gymnastics Safety Certification & SafeSport Certifications
- Ability to lift up to 50 pounds or more
- Ability to be standing or moving for multiple hours
- Ability to see and hear athletes clearly in a busy environment
- Knowledge and enthusiasm for gymnastics, preferred
