Responsibilities:

  • Support planning and execution of conferences, meetings, and events.
  • Identify and manage vendors for meetings/events, negotiate contracts, and ensure adherence to timelines and budgets.
  • Provide input on event budgets, maintain tracking reports, reconcile final bills, and ensure timely payments post-event.
  • Assist in creating and managing event timelines and master calendar.
  • Assist in sourcing and contracting event sites.
  • Oversee registration logistics, troubleshooting, and providing onsite support as necessary.
  • Manage exhibitor and sponsor fulfillment, ensuring contractual obligations are met and logistics are well-coordinated.
  • Coordinate educational sessions and keynote speakers, including scheduling and communication of deliverables.
  • Assist in designing conference websites, ensuring user-friendly interfaces and timely updates.
  • Analyze event success and prepare reports highlighting achievements and areas for improvement.
  • Collaborate with marketing, communications, and project teams to promote events effectively and ensure timely content delivery.


Requirements:

  • Well-organized with strong attention to detail and ability to see projects through completion.
  • Knowledge of best practices in meetings and events.
  • Effective decision-making and problem-solving skills.
  • Ability to manage multiple projects simultaneously.
  • Strong interpersonal and communication skills for guiding project teams.
  • Excellent writing, editing, and proofreading abilities.
  • Proficiency in Microsoft Office applications, including MSTeams.
  • Commitment to ongoing professional development.


Education and Experience:

  • 3+ years in conference/meeting/event planning.
  • Bachelor’s degree in hospitality, communications, business, or related field; or equivalent professional experience.
  • CMP certification strongly preferred.
  • Experience utilizing data and metrics to drive improvements.
  • Comfortable working independently and collaboratively in a remote environment.
