POSITION SUMMARY:
Provides a range of administrative services to the President, CEO, and Commission.
DIRECTION:
General direction to this position is provided by the President and CEO, and the Vice President of Operations. The ability to work independently, accurately, exercise considerable sound judgment and be trustworthy – being privy to highly confidential and sensitive information – are essential elements of the job. The employee will also perform other duties as assigned, so long as such duties are within the bounds of accepted standards of safety and propriety.
ESSENTIAL DUTIES:
- Administrative Support to the President and CEO
- Organize the President and CEO’s schedule reducing any administrative tasks to maximize the use of the President and CEO’s time and impact.
- Organize and schedule meetings, media interviews, speaking engagements, and other business functions for the President and CEO.
- Coordinate arrangements for conferences, seminars, and group meetings with county officials, commissioners, business executives, and staff.
- Organize domestic and international travel arrangements for the President and CEO, making hotel and airline reservations, preparing itineraries, and logging expenditures.
- Schedule Team meetings and serve as virtual host for FCEDA staff and leadership team meetings.
- Create, and revise presentations, spreadsheets, and documents accurately and expeditiously; proficiency in MS Office is required.
- Administrative Support to the Commission
- Organize, arrange, and attend meetings of the FCEDA Commission and pre-meeting activities. Coordinate commission attendance. Ensure that all commission functions are carried out in accordance with county, state, and federal law, and commission policies.
- Maintain accurate records of all commission meetings and related documentation as required by the Code of Virginia. Take notes; tape proceedings; transcribe and compose official minutes.
- Supervise organization, preparation, and distribution of meeting agenda, meeting documents, and monthly reports to the Commissioners before all meetings utilizing digital board management application.
- Arrange catering for commission and other large group meetings.
- Facilitate communication and coordinate activities between commissioners and FCEDA staff. Establish strong working relationships with the commissioners and their representatives.
QUALIFICATIONS:
Any combination of education and experience equivalent to three to five years of work experience in administrative support, preferably on the executive level, is required. Experience working with Boards and Board members is preferred. Excellent organizational skills, professional etiquette and behavior, and written and oral communication skills; discretion with confidential information; accuracy; attention to detail; ability to meet deadlines; ability to work well with others at all levels, internally and externally; must have MS Office proficiency in Word, Excel, PowerPoint, Outlook, and Teams.
SPECIAL REQUIREMENTS:
The appointee to the position must satisfactorily complete criminal background and credit checks. Requires attendance of Board meetings one evening a month.
PHYSICAL REQUIREMENTS:
Job is generally sedentary in nature, however, the employee is required to walk, stand, sit bend, kneel, reach, climb stairs and carry up to 25 pounds in weight. Use hands to grasp handle or feel. Visual acuity is required to read data on a computer monitor. Physical requirements can be performed with or without accommodation
